The Power of Tone in Communication

In our fast-paced business world, the tone of voice is often overlooked but is absolutely critical to effective communication. Imagine words on a page being sung; the melody added to those words can dramatically change how they make you feel. The most powerful music achieves its impact through the right tune and tempo, and the same principle applies to your tone of voice.

Tone of Voice in Business

We've seen this in action with business leaders preparing for important pitches. We always ask them, "How do you want people to feel by the time they leave this room?" Their responses vary, but once they have a feeling in mind, we often find their current tone does not match the desired outcome. Sometimes, their tone can make us feel nervous, questioning, or even bored.

To address this, we sometimes use famous speeches or children's storybooks. We ask them to read these with the same enthusiasm they would to a group of five-year-olds. Then, we have them deliver their sales pitch with the same energy. This exercise often brings their words to life, making the emotion in their message more vivid and engaging.

Breaking Down Misconceptions

A common misconception in business is that professionalism equates to monotony. Many believe that a monotonous tone sounds more important, but in reality, if everything sounds the same, nothing stands out as important. Newsreaders excel at this; they guide your emotions with their tempo and pitch before even delivering the facts.

For example, a newsreader might say, "In other news this evening, I need to tell you what happened to Julie." The tone of voice used for this message would tell you if it was good or bad news about Julie. Newsreaders set the emotional stage with their tone, preparing you for the news that follows.

The Emotional Journey in Communication

Movies use soundtracks to evoke emotions before certain characters appear on screen, connecting the audience emotionally to the story. Similarly, in business, if you think about how you want people to feel about your brand, your message, or yourself, and incorporate that into your tone, you can significantly enhance your communication.

Think in advance about the emotions you want to convey. Make notes in your script about where to pause, where to change pitch, and where to slow down. By creating an emotional flight path for your information, you are more likely to take people with you on your journey.

Practical Application

To put this into practice, try these steps:

  1. Identify Desired Emotions: Determine how you want your audience to feel at different points in your presentation.
  2. Practice with Variety: Experiment with different tones while practising. Try reading children's books or famous speeches with exaggerated emotions to get comfortable with varying your tone.
  3. Mark Your Script: Note where to pause, slow down, speed up, or change pitch. These cues will help you guide the emotional flow of your presentation.
  4. Seek Feedback: Practice in front of colleagues or friends and ask for feedback on your tone. Adjust based on their responses to ensure your delivery is effective.


By paying attention to your tone of voice and using it strategically, you can make your communications more impactful, engaging, and memorable. Remember, the right tone can transform how your message is received and how you are perceived as a communicator.
