As someone who has been in Business Consulting for almost a decade, I have had the privilege of working with a diverse group of passionate entrepreneurs who pour their heart and soul into their businesses. Their dedication is nothing short of inspiring. They'll burn the midnight oil and work tirelessly to keep their dreams alive. Their commitment is undeniable, and it's a testament to their unwavering spirit.


However, amidst this boundless passion, I've firsthand observed a common thread that often runs through many of these businesses – the lack of comprehensive operational business plans. The absence of these plans often is not a reflection of their commitment but rather a missed opportunity stemming from capacity and the precedent that all can be accomplished without them.


Picture this: A business owner, working endless hours, often shouldering the weight of the entire operation, with limited time for personal life, and the ability to even think about putting pen to paper outlining what it is they do. They do it all. They’ve been okay up to this point, why should they start documenting what it is they do? The doors will open tomorrow because they will be the ones opening them! It's a story that repeats itself in many small businesses. While dedication is commendable, it can come at a high cost – work-life balance often takes a back seat, and the ability to delegate responsibilities is minimal because the owner doesn’t know where to start! Or even worse, if disaster strikes, how can someone step in to help without a roadmap??


Here's the deeper concern that should not be overlooked…. without well-defined operational business plans, businesses are walking on a tightrope, vulnerable to various uncertainties. They lack the ability to maintain in turbulent times, a safety net, a roadmap for success, or a blueprint for long-term growth.

So, the question becomes, how do we address this? How can we inspire these passionate business owners to invest in creating a strong operational business plan, ensuring not only their business's success but their well-being too…? The answer lies in a constructive, positive, and fact-based approach.?


Understanding the Need for Change

First, we must acknowledge and celebrate their passion and dedication. It's this very drive that has brought them to where they are today. Their commitment is the foundation upon which we can build for the future. Next, we should highlight the successes of their businesses, showcasing the positive impact they've made. It's essential to recognize and celebrate these achievements. It sets the tone for a positive discussion.?


The Importance of a Strong Operational Business Plan

Now, let's delve into why operational business plans are critical. These plans serve as a roadmap to navigate the complexities of business. They encompass well-thought-out strategies, documented processes, and clear roles and responsibilities. Operational plans not only facilitate effective day-to-day operations but also empower business owners to delegate tasks, thereby improving their work-life balance. It's a powerful tool for growth and expansion, providing stability in times of change or crisis. Consider various scenarios where this can also help the business owners family and loved ones in times of crisis. This isn’t only a selfish tool to be created to help a business owner take a break, but instead, one that is selfless that can help a business owners family.?


A Collaborative Approach

The conversation should be framed as a collaborative effort. We, as business consultants, stand by their side to support them in creating and implementing these plans. Consider your observations as their consultant, and provide a “Table of Content” style bullet point list to help with the planning process. Get that whiteboard filled! Remember it’s not a directive but a partnership for their success. We invite their concerns and questions, addressing them with understanding and solutions. Change can be daunting, and it's our role to ease that transition.?


Setting Goals and Milestones

To make the journey more manageable, we can set achievable goals and milestones for developing these operational plans. Breaking the process into smaller steps allows them to make progress without feeling overwhelmed. Earlier we talked about the Table of Content” style bullet point list, how about starting in small chunks? Maybe it’s two or three bullet points a week, remember the owner is already DOING the operational tasks – we just have to help them articulate them.?


The Power of Follow-Up and Resources

Regular follow-up is essential to track progress, offer guidance, and celebrate achievements. We, as consultants, also have been down this road before so we should be able to provide resources, templates, and guidance to help them continue through this planning process. It's the support system and relationship we own that ensures they are not alone on this journey. Some examples of items to contemplate as their partner:

  1. Responsibility and Frequency: Does the plan clearly define who will be responsible for a specific task and how often they need to address it?
  2. Management and Execution: Does the plan outline the methods and processes involved in managing and executing each task?
  3. Planned Activities: Does the plan identify the planned activities supporting the designated action or function?
  4. Validation and Monitoring: Does the plan describe how employees can ensure and validate the effectiveness of the process?
  5. Due Dates: Does the plan specify applicable due dates, creating a structured timeline for task management?
  6. Measurement of Effectivity: Does the plan establish metrics for measuring the success and adherence to the outlined plan?

While passion is the engine that drives small businesses, operational business plans are the tracks that guide them toward sustainable success. Our role as consultants is not to impose change but to inspire it through constructive and fact-based dialogue. With operational business plans in place, these dedicated business owners (and their families) can realize their dreams while enjoying the rewards of a well-balanced life.
