The power of "Community" days at work

The hybrid model emerged as a transformative force within the corporate world, ushering in a new era of flexibility and adaptability. Once deemed implausible, its realization became inevitable with the onset of the pandemic, showcasing the power of technology to redefine traditional work paradigms. However, amidst its benefits, a subtle yet significant drawback surfaced: the potential erosion of team cohesion.

In a previous team, I found myself physically present at the office on my remote work days, solely to connect with my “co-captain”. Recognizing this challenge when I joined a new team, I instituted a dedicated "community" day within our team's schedule. This designated day provided an opportunity for all team members to convene in person, to foster bonds and collaboration. We strategically aligned our virtual meetings with this community day, ensuring that collaborative discussions and brainstorming sessions occurred within the context of physical presence, thereby strengthening our team spirit.

Establishing a successful community day requires deliberate planning and execution. Here are some key steps to implement this initiative effectively:

  • Identify a Suitable Day: Select a recurring day within the team's schedule where all members can feasibly gather in person. In my experience, I facilitated this decision-making process by empowering my team members to vote on their preferred day, ensuring inclusivity and accommodating diverse schedules. Subsequently, I adjusted my calendar to prioritize attendance on the chosen day, demonstrating my commitment to fostering a cohesive team environment and leading by example.
  • Communicate Expectations: Clearly articulate the purpose and significance of the community day to all team members. Gain the support of your team members by highlighting how the "Community Day (CD)" initiative will enhance collaboration, stimulate creativity, and strengthen team cohesion.
  • Plan Engaging Activities: Organize team-building exercises, discussions, or collaborative sessions. As part of our tradition, at noon on our designated day, we set aside our laptops, put on some music, and come together for a lively 10-minute dance session. This refreshing break not only stimulates our spirits but also fosters a sense of unity and solidarity among team members, reinforcing the bonds that drive our collective success.
  • Facilitate Open Dialogue: Create an environment conducive to open communication and mutual exchange. Encourage team members to share insights, perspectives, and feedback, fostering a culture of transparency and trust. Unlike virtual meetings, our in-person gatherings provide an optimal environment for this exchange, free from distractions that may fragment attention.
  • Evaluate and Iterate: Continuously assess the effectiveness of the community day initiative through feedback mechanisms and observation. Solicit input from team members to identify areas for improvement and refinement, ensuring its ongoing relevance and impact.
