In today’s fast-paced business environment, leveraging the power of automation is essential for staying competitive. Here’s a step-by-step guide to integrate Power BI with Power Automate for data refreshes, exports, and automation:-

Step-by-Step Guide: Integrating Power BI with Power Automate

Option 1: - Add a "Power Automate" button (Visual) to your report. You can choose to add data to it if needed and then define the actions it should perform.

Options 2: - Leverage the Power BI triggers and actions available in Power Automate to streamline your workflows. Use ready-made templates or create your own custom flows to automate tasks like data refreshes, report exports, and notifications.

Refresh Data

If need to refresh a semantic model, based on user action within a report, you can add the power automate visual to a report page and then define a flow that will refresh a specific semantic model (dataset)

Edit the Flow

Select?More options (...)?>?Edit?to configure the button.

You can start from scratch or start with one of the built-in templates as an example. To start from scratch, select?New?>?Instant cloud flow.

Here, you can choose a subsequent action or specify a Control if you want to specify additional logic to determine the subsequent action.

When the Power Automate button in Power BI is clicked, it functions correctly.

Export Reports

Power Automate actions also allow you to export reports in a specific format.

You can, for example,

On a recruitment basis, export a PDF version of a report and store it somewhere. Another example: export a report when the user clicks on the “power automate” Button.

While this feature can also be accomplished using the “Subscriptions” in power BI service, this option allows you to define more specific and complex workflows.

Export Data

Power Automate actions also allow you to export data from a semantic model, directly from a report page. In addition to “extracting” data, you can take further actions based on it.

For example: Implement a Power Automate flow that will retrieve data from your semantic model (data defined by the report creator and that can be filtered by the user). The retrieved data can be then stored in an Excel file, sent by e-mail or Teams, etc.

Automate actions

Aside from data refreshes and content exports, you have the flexibility to create intricate workflows.

Here some examples:-

  • With the Data Activator (preview), you have the ability to detect changes in your data and set up corresponding actions. For instance, you can trigger actions like sending a Teams message, updating a file or database, or creating a ticket when a key performance indicator (KPI) hits a specific threshold.
  • Leveraging the "Metrics" feature, Power Automate can automatically update goal values, conduct check-ins, or detect changes, providing enhanced monitoring and management capabilities.
  • Combine the "Dataflow" connector with the "Power BI" connector to automate tasks like refreshing a semantic model once a dataflow update is complete, ensuring seamless data synchronization.
  • Additional functionalities include actions such as "Add rows to a dataset" or "Run a query against a dataset" catering to specific and diverse operational requirements.
