Power Apps vs. Excel: Why You Should Upgrade Your Workflow

Let’s face it, we’ve all relied on Excel more than we’d like to admit. Whether it’s managing budgets, tracking data, or juggling workflows, Excel has been the trusty go-to tool. But as capable as it is, there comes a point when its limits start to show. When dealing with complex workflows, repetitive admin tasks, or the need for an intuitive interface that works for everyone, Excel can feel a bit like trying to build a house with a hammer when you really need a toolbox.

That’s where MS Power Apps steps in. It’s not just an upgrade; it’s a way to reimagine workflows, ditching the endless spreadsheets and replacing them with custom-built applications designed to work the way you need them to. This isn’t just about saving time, it’s about creating smoother, smarter workflows that free your team from admin burdens so they can focus on what they do best.

Why Consider Power Apps?

Think of Power Apps as Excel’s sleeker, smarter cousin! It doesn’t just handle data; it transforms it into user-friendly applications. Here’s why you might want to make the switch:

  1. A Better User Experience - Excel is powerful, but let’s be honest, it’s not always intuitive. For non-technical users, navigating cells, formulas, and tabs can feel overwhelming. Power Apps lets you design clean, user-friendly interfaces where users can input or retrieve data without needing to touch a single formula. This reduces mistakes, lowers frustration, and makes the workflow far more accessible for everyone.
  2. Automation Made Easy - While Excel can automate some tasks with macros, Power Apps teams up with Power Automate to make automation more accessible. Want to send reminders, update records, or generate notifications without lifting a finger? With Power Automate, even non-developers can set up workflows that connect with over 300 sources, from email to Teams and beyond.
  3. Real-Time Insights with Power BI - Excel can produce a decent chart, but when it comes to dynamic, real-time dashboards, Power BI is in a league of its own. Whether it’s monitoring project progress, tracking workloads, or analysing resource allocation, Power BI gives you actionable insights at a glance, no manual data crunching required.
  4. From Spreadsheets to Smarter Solutions - Picture this: your team is managing a booking system in Excel. It works, technically, but it’s clunky. There are manual updates, endless email chains, and the occasional “Did I forget to send that reminder?” moment. Switching to Power Apps transforms this workflow entirely. Now, instead of sifting through spreadsheets, staff log into a tailored app with simple forms for updates. Power Automate sends reminders automatically, and Power BI keeps everyone informed with live dashboards. The result? Less time spent on admin, fewer errors, and more time for meaningful work.

The Tools Behind the Magic

Here’s a quick look at what makes Power Apps so versatile:

  • Canvas Apps: Design your app from scratch with drag-and-drop simplicity. Perfect for custom interfaces that align with your specific needs.
  • Model-Driven Apps: Build applications around structured data sources like SharePoint or SQL, ideal for straightforward workflows.
  • Connectors: With over 1400 integrations, Power Apps bridges tools like SharePoint, Teams, and even Twitter, ensuring your data flows seamlessly across platforms.

Together with Power Automate and Power BI, Power Apps becomes part of a powerful ecosystem that captures, automates, and visualises your data like never before.

Should You Hang Up Excel?

Excel will always have its place, but when your workflows grow beyond what spreadsheets can handle, Power Apps is a natural next step. It’s not just about replacing Excel; it’s about enhancing what your team can achieve by simplifying data entry, automating repetitive tasks, and providing real-time insights.

By upgrading to Power Apps, you can focus on what really matters: delivering value to your team, clients, or users, without the admin headaches. If you’re drowning in spreadsheets, it might just be time to explore what Power Apps can do for you.

This is a fabulous newsletter. Especially how you are setting people up for success, as they can iterate with confidence that they don't need to do it all again when AI disrupts it. I am most excited about Copilot Studio (nee Power Virtual Agents) marrying Power Automate with a chatbot using LLMs and LRMs as well as your SharePoint permissions.
