Chapter Head Position Description
The Chapter Head is responsible for leading and managing the ACYPI geographic chapter which they are appointed to.
The Chapter Head sits on the relevant sub-committee for chapter engagement and works closely with the relevant Chapter Engagement Manager. This means that:
- For Australian chapter heads, they will sit on the sub-committee for Australian Chapter Engagement, overseen by the Australian Chapter Engagement Manger.
- For China chapter heads, they will sit on the sub-committee for China Chapter Engagement, overseen by the China Chapter Engagement Manger.
- There can be up to two (2) chapter heads appointed for each geographic location. Where there are two Chapter Heads appointed, each will be referred to as a Co-Chapter Head. Only one chapter head is required to attend sub-committee meetings.
- Duties and responsibilities
- Manage the relevant chapter in accordance with all by-laws and policies issued by the ACIL Board– these may include policies regarding event promotion, financial policies, and other key aspects to ensure chapter consistency
- Act as Chair of the relevant chapter committee including calling and holding regular committee meetings (at least once per quarter)
- Appoint and manage the chapter committee in accordance with any applicable by-laws issued by the ACIL Board – as a minimum, a chapter committee should have 3 members being the Chapter Head, Marketing & Communications Officer and Sponsorship & Partnerships Officer
- Engage in chapter succession planning through preparing other committee members for future chapter head roles and encouraging graduating ACYA members to join chapter committees
- Keep up to date records for the chapter including meeting minutes, event expenditure records, and committee member contact information
- Advise the relevant Chapter Engagement Manager and ACIL Board of any changes to a chapter committee prior to changes taking effect where possible, otherwise as soon as possible after a change occurs
- Use the allocated chapter email address for all ACYPI related correspondence or where this is not possible, copy in chapter email address and/[email protected]?to ensure continuity of communications
- Attend and participate in the relevant Chapter Engagement sub-committee
- Organise and hold a minimum of three chapter-specific ACYPI events a year – these can include co-branded events with other organisations that align with the ACYPI vision and strategy (for example, AustCham, DFAT, ACBC, universities etc)
- Chapters events are to align with the three ACYPI pillars: Empower, Connect, Engage
- Ensure that all chapter events generate 20% profit per event, or at the very least, are cost neutral to ACYPI1
- Work with the sponsorship officer at the Chapter level to seek and obtain sponsorship for Chapter-level ACYPI events (for example, venues, food and drink sponsorship, prizes and gifts, speakers, monetary contributions or grants)
- Work with the Chapter Engagement Manager and the ACIL Board to establish partnerships between ACYPI and partner organisations to help bring sponsorship and partnership event opportunities
- Represent ACYPI at all chapter events and other external events, including promoting ACYPI in accordance with its vision and strategy and not doing anything to harm the reputation of ACYPI or bring it into disrepute
- Access all relevant social media logins for the chapter – the Chapter Head can nominate a committee member or work directly with the National Comms and Marketing Manager for event/Chapter promotions
- Moderate WeChat group (work with ACIL board / Comms Manager where necessary) including removing old members and adding new members
- Ensure that all chapter events are promoted sufficiently in advance of events - event promotion must at least utilise WeChat, LinkedIn, email and the ACYPI website; it may also utilise Twitter, Facebook, and any other relevant platforms
- Note: profit is not generated to distribute to members. Profit is reinvested in the organisation to cover running costs of the chapters and the national team. Revenue is not generated or accounted for on a per-chapter basis. Any expenses incurred by an individual, which have been approved in advance by the Treasurer, will be reimbursed upon presentation of the relevant receipt/s.
??Ensure that all post-event communications are sent to sponsors, speakers, and attendances, and a list of registrations is provided to the IT Manager for CRM purposes
- Strong interpersonal skills and excellent written and verbal communication skills
- The ability to work on their own initiative, effectively both as an individual and as part of a team
- Excited by challenges and motivated to find solutions that work for all parties
- Executing all tasks with strong attention to detail
- Passionate about Australia-China relations and working in a non-for-profit organisation
- Willing to make a commitment of at least one year to grow and strengthen the chapter and the organisation
