In today's fast-paced recruitment landscape, the difference between thriving and merely surviving often comes down to one thing: systematic pipeline management.

Understanding where your next req will come from, what req will close the soonest, and what needs to be done to move stalled reqs (aka slow interview processes) is one of the best ways to grow revenue.

Today I want to walk through the pitfalls I see most recruiters fall into, and how you can implement a weekly 20 minute process to avoid those same mistakes.


Quick break before we jump into the article. I have spoken with hundreds of recruiters ranging from brand new to the industry, to 20 year vets. What I learned is that sometimes all people want is someone to bounce ideas off of. Celebrate small wins together. And learn from others.

The problem with how most recruiters manage their pipeline

Most recruiters fall into a reactive trap:

  • Constantly putting out fires
  • Hoping candidates will call back
  • Letting reqs stagnate while focusing on new leads
  • Operating on gut feeling rather than data

The result is almost always lost placement potential, unhappy clients, and a frustrated recruiter/business owner. Instead you should block out, on your calendar, 20 minutes each week to run through this exercise.

The 20-Minute Solution

Here's the three part breakdown you can start implementing this week.

Phase 1: Review Stalled Reqs (5 minutes)

  • Pull up your pipeline dashboard
  • Identify reqs with no movement in the past week
  • Flag opportunities where communication has dropped
  • Spot patterns in reqs slowdowns

Phase 2: Strategic Planning (10 minutes)

  • Prioritize reqs based on closing probability
  • Draft specific action items for each stalled opportunity
  • Create clear communication plans for follow-ups

Phase 3: Immediate Action (5 minutes)

  • Send messages to the high-priority reqs
  • Schedule calls whenever possible on slowed/stalled reqs
  • Update pipeline status and notes
  • Set reminders for next steps

The power of this approach lies in its simplicity and consistency. By dedicating just 20 minutes to focused pipeline management, you:
