Piled up with you Gmail !! here are some SMART tips

Hi,

If you are gmail user and everyday you are piled up with mails, then this post is for you.

Let me go directly to business:

1. First thing's first. You need to organize your gmail home page.How !

- Daily you may get emails from various official purposes. Try to find out what are the groups who send you mails and then sort them and name them. Ex. if you get emails regularly related to finance, supply chain, admin, IT etc. then you may create separate labels with the same name. Some emails may be related to more than one function. In this case, you may label it in two functions as well. You can get the key words for labeling from gmail shortcuts from settings.

- You may have the vertical split or horizontal split to view the emails which depends on your preference. My suggestion is to go for vertical split.

- In gmail you have the facility to chat with other gmail users. You can set your right side chat on in order to view and chat all the users who are in your contact list.

2. You may set up your status "available" or "busy" in chat so that other users are aware of your availability. The greatest advantage is , other people will be more cautious before knocking you.

3. Now how you will organize your inbox: As i said earlier, you need to label the emails. Once your assigned task is done then you may remove the mail from inbox to other label. Which means, if you have any email in inbox, this means you have a pending task to do. This is a great way of prioritizing tasks.

4. if you want to followup with one mail that you are sending , then you may keep yourself in copy so that i comes to your inbox. Eventually, this will be your pending task to do/follow.

5. Now most important part is prioritizing. Lets talk about four types of priority management:

a) Urgent and important things: No matter what you need to reply urgently. Preferably within 1 hour

b) Urgent but not important things: you need to answer urgently even though it is not directly important.

c) Not urgent but important things: You need to take time to answer it. This will help you to take good/ right decision

d) Not urgent and not important: You may take a while to answer at your free time only.

6) You can also prioritize your mails by simply clicking on "s" in your keyboard. This will put various colors in your thread like red, green, blue etc. You can use it as a prioritizing tool.

7) there is another good way to follow up your sent email which is by using #boomerang. You can set timer of response if no one is not replying to your email.

8) You can judge your email performance monthly by using Gmail meter. This is a very fantastic tool which shows you: how long you take time to respond an email, when do you get max emails ( daily and weekly basis) , who are your main contacts etc. I invite everyone to use #gmailmeter.

These are the small but smart things that you can do in your gmail. Off-course, You will get many more from google.
