PH.D. THESIS SUBMISSION AT CALCUTTA UNIVERSITY – A PRACTICAL GUIDE

Thesis submission and defense at Calcutta University is the undisclosed challenge that you take as you join the Ph.D. program at its affiliated institutes. This document provides a step-by-step guide for the hard copy submission once the reports of your thesis are received. Don’t take the stress and follow the procedure. I hope that things will improve in the future and S. N. Bose National Centre for Basic Sciences will provide more avenues for Ph.D. registration and defense that strictly follows the UGC guidelines. Till then, this document will serve as a guide for the scholars and will hopefully reduce their time and effort a little.

1. DEPARTMENTAL LIBRARY CLEARANCE

Modify the template application and get it forwarded by HOD at Raja Bazar Science college followed by the librarian's signature. Librarian will issue a certificate that you need to produce at Central Library (CU). You need to keep the Ph.D. registration and University registration certificate copies as well.

I, Shashank Gupta, am a research scholar at S. N. Bose National Centre for Basic Sciences, Kolkata. I have submitted my Ph.D. Thesis entitled “Certification And Preservation Of Quantum Correlations" under the supervision of Prof. Archan S. Majumdar on 12 Dec 2021 via online mode.

I enrolled as a full-time Integrated Ph.D. (IPhD) scholar at S. N. Bose National Centre for Basic Sciences, Kolkata on 1st August 2015. I have registered for the Ph.D. degree at the University of Calcutta, Kolkata (Ph.D. Registration Number:

05791/Ph.D.(Sc.)Proceed/2019; Date of Registration: 7th August 2019; University registration no.: I02-1121-0005-15).

I have no Library Card from the Department of Physics, University of Calcutta. Now, I want to submit a hard copy of my Ph.D. thesis at the University of Calcutta. For this purpose, I need a Library clearance certificate. I will be highly grateful if you please do the needful.

2. CENTRAL LIBRARY CLEARANCE

Produce the certificate issued by the departmental library, following template application, CU registration, Ph.D. registration, and Enrollment certificate to the librarian. He will say to sit for some time, don’t argue, and remain seated there. This is a good time to see the central library. You need to make an online payment of 200 times the number of years you were a member of the central library. In my case, it was 600 rupees.

I joined S. N. Bose National Centre for Basic Sciences in 01/08/2015 as an Integrated Ph.D. student. I submitted my thesis entitled “Certification And Preservation Of Quantum Correlations" under the supervision of Prof. Archan S. Majumdar on 12 Dec 2021 in online mode. On February 14, 2023, I received a phone call from the Ph.D. section at the University of Calcutta informing me that my thesis reports had come and that I needed to submit the hard copy of my thesis. To submit the hard copy of my thesis I would require a library clearance certificate. Note that, I joined as JRF at S. N. Bose National Centre for Basic Sciences, Kolkata on 01/08/17.

I hereby declare that I have never used the library facilities of the Central Library of the University of Calcutta. I do not have a library card and hence, I do not have any issued books in my possession.

Kindly do the needful at your earliest so that I can have the library clearance certificate.

The central librarian will give a note that will help you to collect the clearance certificate from the membership section downstairs in the same building. You may eat something now and follow the next step later.

3. THESIS PRINTOUT FROM DHAR BROTHERS (NOT SPONSERED)

You may get your thesis printed by the Dhar brothers, Kolkata. They are very professional, and all the procedures can be done remotely. You may come and collect the thesis directly. I opted for one hard case binding and one soft binding for the thesis and two CDs containing the attested abstract, attested photo, and a copy of the thesis for evaluation, the total cost was rupees 2145.

4. FINAL STAGE – HARD COPY SUBMISSION

Keep the following documents ready in original as well as photocopy. Attested means supervisor's signature and stamp.

  1. CU central library clearance certificate in original.
  2. SBI online submission deposit payment receipt of 3500 rupees (photocopy).
  3. Thesis submission certificate (attested).
  4. University registration certificate (attested).
  5. Master’s degree marksheets and certificate (attested).
  6. Candidate Aadhar card (attested).
  7. Supervisor/joint supervisor certificate in original.
  8. Departmental seminar report in original.
  9. Summary of work in 5000 words in original.
  10. Ph.D. registration letter (attested).
  11. Enrolment certificate (attested).
  12. Coursework completion certificate (attested).
  13. Publications where the candidate is the first author (attested). Only two papers they collected in full.
  14. Three copies of the abstract with the full signature of the candidate.
  15. Two copies of CDs (write full name, subject, and thesis title of thesis at the front using a permanent marker).
  16. One hardcover binded thesis with a CD paper cover at the end.

This concludes the procedure. All the best for your defense.
