Part III: What is your key to a flawless event?

Once an event has been executed do you consider it over? Well, in all these years I can hardly recall any of the events where our work was over as the attendees left. Any events closure is as important as the beginning. An event planner’s work isn’t done till he/she follows these post-event procedures. To avoid missing out on these, it is advisable to plan these activities as rigorously as the event itself.
- The first and most essential thing is to gather your client’s feedback as it is critical to understand and evaluate your event. It also helps you check if you accomplished your objectives.
- Don't forget to send a thank you message to the emcee, ushers, artists and participants involved in the event. It is important to let them know they matter & acknowledge their efforts for the event.
- Once the feedback is taken and the team comes together, it’s time to ‘Debrief’. It is vital to assess if the things committed were delivered or not. Things the team can work/improve on for the next event. Motivate, appreciate your team to keep the morale high for the next events.
- A proper handover to the client for all the details is a must. Make sure all the information, data, details from the event are successfully shared with the client.
- Check if there is proper harmony of data, sync in all details and numbers, match between you, vendor and the client helps you to accurately assess an event post the execution. Post event analysis helps you validate the expected level of success.
- Something most of the event planners might miss out on is updating their website. Make sure you update your website, social media handles with the different types of events you have been organizing. These updates help your existing and future clients stay in sync with your work.
Once all is done, get your team together and pat their backs for executing an amazing event. Don’t forget to celebrate and relax but also remember there are more events coming up.
