The task of ingesting old BETA tapes has posed numerous challenges in the continuously changing world of media preservation and digitization.?The archival materials stored on old tapes represent significant values, which means the long-term archiving and digitization of these tapes are significant,?time-consuming and complicated?tasks, however, this can be a much easy and well-coordinated job?with the integration of innovative technologies. We have developed a unique software solution that fits to achieve our vision. The entire digitalization workflow and quality assurance?including administration?never had been easier with its own developed platform.
Our system utilizes the power of Metus which is a software solution designed for tape ingest. The goal was to simplify and automate the process. We use integrated barcode scanners in our software through which?we have eliminated manual data entry to save significant time and minimise human errors.?The key to everything is workflow and accountability.?When a BETA tape’s barcode is scanned, our application automatically queries a database to retrieve all required information?associated with that particular tape including timecodes and?filenames. This automation reduces human effort and ensures accurate metadata retrieval.
Another significant success factor of archiving is the availability of VTR (BETA) equipment in impeccable condition.?It is easy to see what damage can be caused if a low-quality recording is archived, after which the cassette containing the original material is destroyed.?Our solution also offers an answer to this problem. We integrated a function where the system is continuously checking the conditions of the 索尼 BETA VTRs by collecting the logs?generated by their outputs. This option ensures the optimal playback quality and immediately tells any potential issues to operator which may affect the digitalization process.

It may even follow from the former, but the proper conditioning and cleaning of the cassettes to be digitized must also be an integral part of the work process.?It was clear to us that the entire work process must be taken into account during the development, so we paid a lot of attention to this in our solution. We developed a dedicated module and interface with the BETA tape-cleaning machine where we are able to get all information during the cleaning process and can immediately send feedback to the operator if it was successful or something bad happened.?The information will be recorded in the database as well obviously, workflow management is one of the key points of our solution.
Logistics is not an easy task either, so many incoming cassette packages have to be handled, that is why our software has been sharpened to manage this complicated task as well. Our system allows users to track the physical location, status, and history of each BETA tape which greatly simplifies the work. For example, we easily identify and get all the necessary information back for a dedicated tape from one of the hundreds of boxes where we reduce the risk of misplacement.?
