Overworked & Overwhelmed Yet Still Underachieving Your Coaching Business Goals? You Need the DDD Method.

Overworked & Overwhelmed Yet Still Underachieving Your Coaching Business Goals? You Need the DDD Method.

If you're feeling stretched thin, juggling client work, admin tasks, marketing, and still struggling to grow your coaching business, you're not alone.

The reality? You don’t have a time problem. You have a task management problem.

Successful business owners don’t do everything. They focus on the right things. That’s where the DDD Method: Dominate, Delegate, Delete comes in.

What is the DDD Method?

The DDD Method helps you prioritise and categorise your tasks into four quadrants so you can spend more time on what truly moves the needle in your business.

  1. First, write down ALL the tasks you can think of that you do in your business - from tasks involving business development and marketing to tasks that involve self-improvement and networking (i.e. reading a self-help book, or going for a round of golf with associates).
  2. Then, split a page into four quadrants and categorise these tasks into one of the four quadrants

Tasks you love to do and that align with your expertise:

These are the activities where your unique skills and knowledge shine, and they directly contribute to the value of your business. For example:

  • Delivering a coaching program or mentoring clients one-on-one.
  • Creating a signature course or workshop tailored to your clients’ needs.
  • Developing content like webinars, eBooks, or podcasts where your expertise takes center stage.

These tasks are your "zone of genius" and should be your top priority.

Tasks you like doing but don’t necessarily have to do yourself:

These are things you enjoy or are decent at but could easily be outsourced to someone else, freeing up your time for more strategic activities. For example:

  • Responding to client inquiries via email or social media.
  • Scheduling your social media posts after content is created.
  • Organising your calendar or booking appointments.

These are great for a virtual assistant or a team member to handle.

Tasks you don’t like doing but are essential for the business:

These are the "necessary evils" of running a business. I.e. tasks you’d rather avoid but are crucial to keeping operations running. For example:

  • Bookkeeping, accounting, or invoicing.
  • Data entry or maintaining records of client progress.
  • Website maintenance or troubleshooting.

If these drain your energy, consider hiring a professional or using automated tools to take them off your plate.

Tasks you don’t like doing and aren’t important for your business:

These are the distractions or time-wasters that don’t move the needle in your business and can be eliminated altogether. For example:

  • Unnecessary meetings or calls that don’t align with your goals.
  • Overly detailed tasks like reformatting documents that aren’t client-facing.
  • Scrolling endlessly through social media or engaging in unproductive discussions.

If these tasks don’t contribute to your business growth or joy, let them go!

3. Once you have these tasks plainly laid out in their category, then it’s time to ask yourself - do I dominate, delegate, or delete?

DOMINATE: These are tasks that you love and that only YOU, as the expert, should be doing. Example: Delivering your coaching program.

DELEGATE: These are tasks you like, but someone else can do - especially if it takes too much of your time. Example: Responding to client inquiries.

DELETE: Tasks that neither bring value nor joy- so why are you still doing them? Example: Unproductive meetings with people you don’t even like.

How to Apply the DDD Method

Here’s the trick:

? If you love it and it’s critical, DOMINATE it - own it fully.

? If you can pass it off to free up your time, DELEGATE it to a VA, freelancer, or team member.

? If you hate it but need it, automate it or outsource it.

? If it doesn’t serve a purpose, DELETE it.

Not everyone's list will be the same. Some people thrive on bookkeeping, while others (like me) despise it with every fiber of their being.

So, ask yourself:

?? If I gave this task to someone else, could I make more money or grow my business faster?

?? Does this task truly add value, or am I doing it out of habit?

If the answer is yes, delegate or delete. If it lights you up and makes your business thrive, dominate it.
