What is Project Management ?
As per PMI definition,
It’s a temporary endeavor undertaken to create a unique product, service or result.
A project is temporary in that it has a defined beginning and end in time, and therefore defined scope and resources.
And a project is unique in that it is not a routine operation, but a specific set of operations designed to accomplish a singular goal. So, a project team often includes people who don’t usually work together — sometimes from different organizations and across multiple geographies.
Project management, then, is the application of knowledge, skills, tools, and techniques to project activities to meet the project requirements.
Phases of Project Management
Project management processes fall into five groups:
1) Initiating
2) Planning
3) Executing
4) Monitoring and Controlling
5) Closing
How to Manage a Project ?
1. The key to manage a project successfully, lies in the ability to envision the whole picture of a project.
Therefore, people who are working on a project, specifically Project Manager should vision the bigger picture of project, not only from initiation, but to see how this project will be closed and handed over to business/operations/ customer services team ahead to keep running it.
e.g. Metro bus plan is considered as a project before launching, specific teams worked to set up the whole system, and once it is launched, this project is handed over to a separate team who is responsible for its daily operations.
2. It is essential, that project team should know what exactly the client wants, what are client’s requirements, so that once a certain product/service is delivered, the client is satisfied. What is in the scope and what is not.
3. The feasibility of project should be worked on in terms of its financial, social, economic, political and industry aspects.
4. Clear and comprehensive communication within the team is important so that seamless delivery of the project can be ensured.
5. For any project to work on, the project team should know the estimated cost and time to complete and deliver a project.
6. If a project requires purchase of any hardware/software/ infrastructure, which is to be outsourced/procured, proper timelines and ways of procurement should be identified.
7. All internal, external risks, which can be controlled or are beyond control must be considered and a proper log must be maintained for it time to time.
8. Overall, as per PMI guidelines, following are the certain areas that must be covered within a Project planning, executing and managing, these are;
1) Integration
2) Scope
3) Time
4) Cost
5) Quality
6) Procurement
7) Human resources
8) Communications
9) Risk management
10) Stakeholder management
