Our New User Creation Feature: Simplifying Onboarding for Large Teams

We're excited to announce a small but massive update to Soon that addresses a common pain point for new users: adding a large number of team members quickly and easily. Previously, onboarding large teams required manual entry of individual user details, which was time-consuming and cumbersome.

The Challenge

All of our users need to invite their entire team or company to use our software effectively. Manually entering names and emails for each user is not only tedious but also prone to errors. While sharing an invitation link is an option, it still doesn't fully address the need for bulk user creation.

We previously offered a bulk upload feature, where users could copy-paste details in a specific format, but it wasn't widely adopted due to its complexity.

Our Solution

After considering various approaches, we developed a feature that allows users to easily add multiple team members by copying and pasting data directly from a spreadsheet. Here’s how it works:

  1. Prepare Your Data: Users can list their team members in a spreadsheet, with columns for names and emails.
  2. Copy and Paste: Simply copy the data from the spreadsheet.
  3. Instant User Creation: Paste the data into Soon, and voila! All users are created instantly.

This method eliminates the need for complex file formats or manual entry, making it accessible for everyone.

The Development Journey

Our team initially considered several options, including:

  • Creating an internal tool for bulk user addition.
  • Developing a more user-friendly bulk upload feature.
  • Using AI to process and format data from various sources.

However, these solutions either added unnecessary complexity or didn't fully solve the problem. The breakthrough came from one of our team members who proposed the simple copy-paste approach. This method leverages the tools users are already comfortable with, like spreadsheets, and integrates seamlessly with our platform.

Why It Matters

This new feature not only simplifies the onboarding process but also helps us and our users save valuable time. By making it easier to add large teams, we enhance user satisfaction and increase the likelihood of wider adoption of our software, ultimately benefiting everyone involved.

We hope this feature becomes a standard in software onboarding processes, setting a new benchmark for ease of use.

Quick wins not only keep our team motivated and moving fast but also deliver significant impact. A tip: when things become overcomplicated, let your thoughts rest for a bit. You might be looking in the wrong direction and need some reflection.
