Hey there, fellow campaign warriors! Let's dive into the wild world of managing recurring campaigns and juggling all that campaign material. Picture this: your business is scaling faster than a squirrel on an espresso shot, and you're collaborating with recruiters and sourcers like it's some sort of corporate flash mob. You're swamped with content, drowning in information, and let's be real, sometimes you're just one repetitive email template away from a full-blown identity crisis. Sound familiar? Fear not, my friends, because I've got the secret sauce for you: a campaign library - basically an intranet for your sourcers!

Where's the information?

As your business scales and collaboration with recruiters and sourcers increases, organizing content and information becomes crucial to avoid pitfalls like repetitive template use or overlooking cultural considerations. A campaign library can be a valuable solution, offering best practice examples, updates on outreach tactics and content, and fostering cross-departmental collaboration.

Usually, at some point, your recruiters will face one of these common problems:

  • “I'm always looking for ways to make my candidate outreach more engaging, but sometimes it feels like I'm stuck in a rut with the same old template.”?
  • “I've sent out campaigns to other countries, only to have them fall flat. I can't help but wonder if I'm missing some crucial cultural aspect. “
  • “There's the issue of trying to collaborate with other departments, like sales. It can be tough to track down the information and resources I need to make my outreach efforts more effective. I need to find a way to shake things up and make my candidate outreach stand out!”
  • “As I work on my candidate outreach efforts, I often have a few questions that come up. For instance, I want to make sure the content I'm using is approved by the marketing team.

  • “I want to highlight the perks we offer to candidates in the UK, but I can't seem to find the information I need.”?

How does that look like?

The way you set up your information is basically up to you and depends a lot on your process and budget. In this newsletter I'll show you 2 ways to set up a campaign library. One is a paid tool called poetryhr and the other one is Notion, which is presented by Brendan Cross-Williams.

POETRYHR

Talent sourcers can benefit from PoetryHR.com by leveraging its comprehensive content management and creation tools. These tools help in efficiently managing recruitment marketing materials, such as job adverts and social media posts. The platform also offers templates and libraries for recruitment processes, aiding in organizing and streamlining operations.

What I like about this tool is that it already gives you hints at what content you should store in a common workspace. In the marketing section, for example, you can store templates for Job Ads as well as the pitches for recruiters. From the "marketing" point of view of recruiting, it is super handy to have all relevant information stored in one place. And let me tell you - it's a tough job to collect all the scattered data from your company and save it in a place that has categories ready made for recruiters!

What's also nice is that you can use it also for talent sourcing purposes. Especially if you are looking for the same positions over and over again, it makes sense to save your "best practice" search tactics somewhere.- I mean no need to invent the whell all over again each time a recruiter comes on board, right?! Therefore, I like the Boolean search function a lot:

Now, if you don't want to spend money on your own "campaign library", there's the option to use free tools. As a talent campaign manager at a unicorn scale-up, I use Google sites -but that was before I knew what Notion was.

NOTION

Notion is a versatile productivity and organization tool designed to help users manage information and collaborate on various projects. It combines elements of note-taking, task management, databases, and more into a single, customizable platform.

Ultimately, it serves you as an intranet for all things outreach.

Here's how you can use Notion as a "campaign library" for recruitment purposes:

  1. Database for Candidate Profiles: You can create a database in Notion to store detailed profiles of potential candidates. This can include their resumes, contact information, skills, employment history, and any notes or comments from previous interactions. Basically like a CRM.
  2. Outreach Tracking: You can use Notion to track your outreach efforts. This would be your data dashboard. Track metrics like response rates, interview success rates, and time-to-hire to continually improve your process.
  3. Task Management: Notion's task management features can be used to set reminders for follow-ups, interviews, and deadlines. This helps ensure you're staying on top of all recruitment activities. - Hello Kanban boards ;-)
  4. Collaborative Workspace: If you're working with a team, Notion allows multiple users to collaborate on the same page. You can assign tasks, leave comments, and update information in real-time.
  5. Document Storage and Sharing: You can store all relevant documents, such as job descriptions, recruitment policies, and training materials, in your Notion workspace. These can be easily shared with your team or with candidates as needed.
  6. Customizable Templates: Notion offers a range of templates that you can customize to fit your recruitment process. Whether it's a candidate scoring system, interview scheduling, or email templates for communication, you can tailor these to your specific needs.
  7. Integration with Other Tools: Notion can integrate with various other tools such as Google Calendar, Slack, and email, allowing you to streamline your workflow and keep all your recruitment activities in sync.

Now, there's also the possibility to use Notion like a landing page for candidates.

Let's delve into transforming your outreach into an immersive experience. It's not about presenting data; it's about creating a journey for your candidate, one that places them at the heart of the opportunity. We can create captivating landing pages that showcases the company, its accolades, and the role, enriched with videos, images, and maps.

Brendan showcases his Amazon site -"A day in the life of a Software engineer" here. This is a great way to present a company and it is also really nice for agencies presenting their customers.

In recruitment, standing out isn't just about being different - it's about being memorable, transparent and engaging.

It's about weaving a narrative that resonates, connects, and ultimately, converts. Providing candidates with a transparent and visually appealing experience can significantly enhance response rates. Positioning roles with carefully crafted visual content often means you don't need to sell the business - the opportunity does that for you.
