Introducing OneDoc: The leading online booking platform for medical appointments in Switzerland

OneDoc is a game-changer in the Swiss healthcare industry, offering a revolutionary online booking platform for medical appointments. As a SaaS business, OneDoc provides subscriptions to practitioners, allowing them to:?

  • Offer convenient online bookings to their patients.?
  • Reduce the number of missed appointments with automated SMS reminders.?
  • Streamline the management of their practice with ease.?
  • Improve their online visibility with a presence on Switzerland's first online appointment booking platform.

The challenge

OneDoc was using bexio AG (www.bexio.com) for order processing, billing, and accounting, but they faced difficulties in evaluating sales figures and P&L data. The standard reports offered by Bexio were insufficient, as they were unable to drill down to the root cause of issues. Additionally, the manual effort was required to extract data from multiple modules and screens, making it challenging to quickly identify and address operational problems.?

?On an operative level, these were some of the pain points:??

  • To get the full data set it was necessary to switch in between different modules and screens??
  • Those views then had to be filtered and manually pulled out of the system for further processing?
  • The most important KPI for OneDoc, as they operate in the area of Software-as-a-Service (Saas), is the so called Monthly Recurring Revenue (MRR), which was not evaluable within the frame of Bexio.

How did FS Partners - The CFO Company and CONSENSO address the challenge?

To tackle the challenge, FS Partners and CONSENSO joined forces. Christian Nauer, CFA from FS Partners, who had been supporting OneDoc as a CFO on demand for a few months, and Arthur Germain, CEO of OneDoc, took on the product management role. Meanwhile Leandro Aeschlimann and Sergei Semenkov from CONSENSO were responsible for developing the Business Intelligence (BI) solution.

The two companies developed a standard approach for BI projects. The first step is to identify key stakeholders, end-users, data sources, and volume, hosting, and expected capabilities and benefits. This is typically done through a BI Canvas or an initial workshop where the customer's needs are assessed and key features are drafted.?

In the OneDoc project, an on-site workshop was conducted to analyze and describe the challenge at a high level. The relevant KPIs of the company were also defined and how to build them using the available data in Bexio.?

With the insights gained from the workshop and the clear requirements, the CONSENSO development team was able to create a first prototype in a matter of days. In a subsequent review meeting, the prototype was examined and refined with OneDoc and FS Partners. After several iterations and thorough end-to-end testing, the first version was delivered in the recent weeks.?

Initially, it was considered to store the data in a separate BI database, but it was decided to do the data preparation, modeling, and visualization directly in Power BI due to the manageable data volume and potential IT transformation projects in the future. It is worth noting that all data is accessed directly via the Bexio API, enabling daily refreshes and a streamlined implementation for similar customers who use Bexio for order processing, billing, and accounting.

What is important when introducing the work with data???

After completing an initial pilot phase, the objective should be to integrate the data dashboard as a core component of management processes, by establishing and monitoring key performance indicators (KPIs) based on its insights. Adopting a data-driven management approach ensures that decision-making is consistently informed by up-to-date, accurate data.

What comes next??

A noteworthy benefit of this process is that OneDoc gains full control over their own data, granting them increased flexibility for any future IT initiatives that may emerge. This positions the company to proactively respond to evolving business needs and stay ahead in an increasingly competitive landscape.?

Moreover we just agreed to move to the Phase 2 of the project, where we will do the data extraction & transformation process to Apache NIFI and the data storage to a PostgresDB in order to setup the BI Landscape for further growth.
