Position Summary
Performs highly specialized administrative support duties, anticipating and providing support to Positive Health Solutions leadership team. A primary focus is the management of the quality management program and supporting reports. This position will also assist with creation of agency written policies and PHS programs guidance. The position will require an in-depth knowledge of various policies, procedures, programs and office software packages. The position functions with a strong level of independence, discretion and good judgement. The Office Manager works under the direction of the Senior Business Manager.
Duties & Responsibilities
Co-leads fiscal quality control for the agency including but not limited to coordinating meeting logistics and running meetings, research, preparing reports, organizing data, collaborating with other departments and application of regulations and policies. Plans, assigns and reviews tasks to insure that quality initiatives are being met.
Generates reports daily and weekly for extraction out of the Electronic Medical Record database to compile and research any potential discrepancies in billing and co-pay collection. Interprets data and reviews for accuracy prior to dissemination.
The position will be responsible for maintaining and updating agency policies and procedures and assisting with the creation of written policies and PHS programs guidance. The position will be responsible for assisting with processing invoices and expenses having knowledge and understanding of the units Cost Allocation Distribution and budgets. Prepare travel arrangements for supervisors for conferences. This position will utilize the Universities TEM system as they prepare for agency hosted events. The position will use a T Card for arranged travel, and a P Card for purchasing office supplies. The individual will have the authority to approve purchases up to $2,500.00.
Serves as point of contact for agency events. Attends meetings involving staff, outside vendors, and committees – calendaring/scheduling of projects/meetings, preparing materials, keeping records, and sustaining electronic list serves. Works with director and supervisors to set budgets for events and provides ongoing progress reports. Acts as a liaison on behalf of the Director in correspondence to sub-committee members.
Serves as backup for lower level front office staff including answering phones, taking messages or checking in & out clients.

Composes and keyboards sensitive/confidential correspondence, creates tables, and reports for the Director in support of grant proposals. Composes/drafts written documentation developed for and by agency Supervisors and Director. Helps to develop brochures, direct e-mails and website correspondence. The position will have access to and maintain confidential materials/files and will be responsible for upholding HIPAA rules and patient confidentiality.
Serves as preceptor for new hires and actively participates in PHS onboarding process. Participates in and facilitates cross-training.
Performs other related duties as assigned. Perform duties included in lower level of this classification series.
