A New Year, A New Direction for the Print Industry: Embracing Identity-Centric, AI-Driven Print Management

As we step into a new year, the print industry finds itself at the crossroads of transformative innovation. No longer confined to traditional print models, the industry is embracing advanced technologies that promise to redefine the role of printing in the modern digital workplace. Key among these innovations are integrated passwordless authentication flows, identity-centric approaches, AI-driven workflows, analytics, and driverless print deployments. At the forefront of this evolution is Microsoft Universal Print, a groundbreaking solution poised to serve as the cornerstone of the next generation of print management.

The Shift to Identity-Centric Authentication

The traditional print environment often relied on complex password setups and local authentication methods that hindered user experience and posed security risks. In today’s security-conscious world, an identity-centric approach aligns with modern organizational needs. By integrating passwordless authentication flows with platforms like Microsoft Entra ID, businesses can:

  • Enhance Security: Eliminate passwords, a common attack vector, in favor of phishing-resistant multi-factor authentication.
  • Streamline User Experience: Enable seamless access to print services with biometrics, smartcards, or single sign-on (SSO) capabilities.
  • Support Zero Trust Principles: Ensure only authenticated and authorized users can access print services, safeguarding sensitive data.

This shift not only strengthens security but also simplifies workflows, allowing users to focus on productivity rather than access challenges.

AI-Driven Workflows and Analytics

Artificial Intelligence (AI) is playing a transformative role in optimizing print environments. By integrating AI-driven workflows and analytics, organizations can unlock powerful capabilities:

  • Predictive Maintenance: AI algorithms can monitor printer health, predict failures, and schedule maintenance proactively, minimizing downtime.
  • Intelligent Document Processing: Automatically route scanned documents to specific destinations, classify content, and extract key data for integration with business systems like CRMs or ERPs.
  • Actionable Insights: Advanced analytics provide insights into print usage patterns, environmental impact, and cost optimization opportunities, enabling data-driven decision-making.

AI ensures that print environments evolve from static utilities to dynamic, intelligent systems that actively contribute to organizational efficiency.

Driverless Printing with Microsoft Universal Print

One of the most significant advancements in the print industry is the advent of driverless printing, made possible by Microsoft Universal Print. This cloud-based solution eliminates the need for traditional print server setups and drivers, offering:

  • Simplified IT Management: Centralized administration through the Microsoft 365 ecosystem reduces the burden on IT teams.
  • Scalability: Universal Print enables seamless deployment across multiple locations without requiring on-premises infrastructure.
  • Enhanced User Experience: Users can print directly from their devices without worrying about driver compatibility or complex configurations.

By integrating Universal Print, organizations can future-proof their print environments and align them with their broader digital transformation goals.

A Vision for the Future

The convergence of identity-centric security, AI-driven innovations, and cloud-first solutions like Universal Print marks the beginning of a new era for the print industry. These advancements position printers as smart document exchange hubs—secure, efficient, and integral to the digital workplace.

As we enter this new year, the direction is clear: the print industry is no longer about paper alone; it’s about transforming workflows, enhancing security, and delivering measurable value to organizations. By adopting integrated, cloud-based, and intelligent solutions, businesses can not only adapt to change but also lead it.

This year promises to be one of exciting opportunities for the print industry. With Universal Print at the helm, the journey ahead is one of innovation, efficiency, and reimagined potential.

2025 the year the Multi Function Device matures into a "Smart Document Exchange": document handling natively integrated into the modern productivity cloud. Productivity, Security and Convenience without compromise. It is indeed time administrators and end-users can "expect more" from these invaluable devices which have so often promised so much but fallen short at the critical point of true integration as a smart device among all the other IT assets we live with every day.

Paul Waite, I agree that AI is transforming Intelligent Document Processing into a more advanced AI-driven approach, where systems can intuitively classify documents, extract context-specific data, and even automate data entry into non-cloud/non-API software. But I invite u to consider how the new “reasoning” LLM models could revolutionize document creation and the out-of-the-box capabilities of hard copy equipment even more. At Docs2ai, we’re already exploring these possibilities. For example, with a copier/scanner’s ADF, you could load a blank form, report, or contract alongside supporting documents. The AI would understand the missing information or the structure needed and automatically complete or generate a new document—all in one scan. In this future, MFPs/scanners/copiers could seamlessly create filled forms, contracts, or reports by simply scanning an empty template or example along with the relevant support documents, with no prior training required. The potential is incredible!

Paul, your insights on AI's transformative role in the print industry are spot-on. Building on your thoughts, I envision AI not just optimising existing processes but fundamentally reshaping the industry's value proposition. AI-driven personalisation could extend beyond print to create immersive, multi-channel experiences that seamlessly blend physical and digital touchpoints. This convergence could position print service providers as integral partners in holistic customer engagement strategies, driving innovation and opening new revenue streams in ways we're only beginning to imagine.
