Navigating Remote Onboarding: Lessons from Blockchain Company

Five years ago, I had a pleasure of working with a #distributedteams of artists and sound designers from various parts of the world — Asia, Australia, Europe, and the USA. Reflecting on that experience, it was my first adventure into building remote onboarding, and it was quite a challenge. However, we managed to create an efficient and comfortable process by incorporating valuable feedback from newcomers and closely analysing their progress, questions, and issues during their adaptation period. Being a small startup, we used Notion for our Onboarding page, along with checklists, and online meetings for feedback sessions.
Today, the idea of a #remotework has become second nature, exceeding even my wildest expectations. And at? Everstake , we have developed a remote onboarding process that helps newcomer’s adaptation into Everstake’s culture and work environment. I would like to share some of the best practices we have implemented into our Remote Onboarding.
1. General Onboarding.
Starting from the first day, newcomer gets access into our Onboarding Page in? Notion . Onboarding Page is divided into 5 parts — each about diffenet area of work. Its purpose is to provide newcomers with all the essential information about the company, its departments, values, and rules.One of those 5 parts is specialised?“Blockchain Onboarding”?section. Within this section, we provide a video course “Blockchain from Scratch,” presented by our Head of Staking — Alina Tielnova . This course, consisting of 12 lessons and accompanying homework, ensures that every person, regardless of their technical background, gains a well-rounded understanding of Blockchain. By aligning technical professionals with those possessing diverse expertise, we cultivate a cohesive and collaborative work environment.
2. Department-specific Onboarding.
We recognise the importance of tailoring onboarding to each department’s unique requirements. Our Department-specific #onboarding process is build around Jira/Notion page that includes a responsibilities matrix, role details and specific team flows for each team. Typically, the Head or Lead of the department oversees this process to ensure its relevance and effectiveness.

3. Security Onboarding.
Super important Onboarding part. And a whole process actually starts with this part on a newcomer’s first day. We start with Security Onboarding, using the? AcademyOcean platform, which provides a robust space for learning essential security courses and tests on social engineering, attacks, phishing, and all security threats. This module, crafted by our InfoSec Vladyslav Vasylkivskyi , imprints a strong security mindset among our team members.
4. Communication during Onboarding.
Effective communication is key during the onboarding period. While some aspects, such as KPIs and goals, are better conveyed in written form, verbal communication is invaluable for friendly connection. For instance, we schedule a?Feedback Meeting in the middle of the Probation Period?for 30-minutes sync between the newcomer and their linear manager. During this session, they exchange #feedback on how things are progressing, discuss expectations, and identify any adjustments needed for the second half of the onboarding period.
5. Instruments for Onboarding.
To streamline the process and ensure no essential steps are overlooked, we rely on BambooHR , Slack automation, and checklists that run in the background. Each newcomer receives a personalised adaptation plan that outlines what they can expect from day one and beyond, helping them navigate their journey with clarity and confidence.
To sum up,?our remote onboarding process at Everstake is a well-structured and efficient framework that empowers newcomers during their adaptation. As the remote work landscape keeps evolving, we refine and enhance our onboarding process for every new team member experiences a smooth and successful transition into Everstake team.
