Navigating the Galaxy of ITSM: A Checklist for Identifying a Troubled Implementation

Due to operational requirements and the tempo in an operational environment, an organization can get lost in the operational noise. However, it is important to pause to have a focused look on your operational environment to identify a possibly bad or non-functional IT Service Management (ITSM) implementation.

This however can be a daunting task, doing homework, reviewing frameworks, best practice guides and so forth. To facilitate this process and to make it a bit easier for you, you can use the following checklist, which we believe are key indicators of a possibly bad or non-functional ITSM implementation.

In the vast galaxy of IT Service Management (ITSM), even the mightiest of organizations can get lost in the operational noise. But fear not, young padawan, for it’s crucial to pause and focus on your operational environment. Use this checklist—imbued with the wisdom of the jedi—to identify signs of a troubled or non-functional ITSM implementation.

Jedi Project Mastery and Galactic Leadership

  • Unclear or Shifting Objectives (The Sith's Confusion): Objectives are as elusive as the Sith, or they keep changing without reason.
  • Lack of Executive Sponsorship (Absence of Jedi Council): The project lacks the guiding force of strong leadership support, akin to the guidance of the Jedi Council.
  • Poor Stakeholder Engagement (Lost Padawans): Key stakeholders, including IT teams and business units, are not engaged, wandering like lost Padawans.
  • Frequent Scope Creep (Expanding Galactic Horizons): The project's scope has expanded beyond the original objectives, like exploring new galactic horizons.
  • Ineffective Change Management (Discord in the Force): There is a lack of a structured approach to managing and communicating changes, causing discord in the Force.

  • Hidden Costs (Surprise Encounters): Unexpected costs emerge during the implementation, surprising the Jedi with unforeseen encounters.
  • Lack of ROI (The Dark Side of Investment): The project fails to demonstrate a clear return on investment, succumbing to the dark side.

  • Overly Complex Workflows (Galactic Maze): The project results in complex and convoluted workflows, akin to navigating a labyrinth in the galaxy.
  • Poor Documentation (Lost Holocrons): Processes, configurations, and changes are not adequately documented, akin to lost Holocrons depriving the Jedi of valuable knowledge.

  • No integrations (Isolated Systems): Integration, even basic such as authentication, speaks to tacit agreement of the platform and approach, akin to systems isolated in the vast galaxy.
  • Configuration Management Database (CMDB) (Missing Jedi Archives): No and or limited single source of truth for Assets (hardware/software), correlation, service definitions, and integrations to operational records, akin to the absence of the Jedi Archives for vital information.

  • Lack of Communication (Misguided Transmissions): Lack of clear and transparent communication affects the perception of the ITSM implementation, akin to misguided transmissions from the Force, leading to confusion and misinterpretation.
  • Inadequate Post-Implementation Support (Abandoned Outposts): There is a lack of post-implementation support and maintenance for the ITSM system, leaving it akin to abandoned outposts in need of aid and resources.

  • Inefficient Processes (Stagnant Hyperdrive): ITSM processes do not lead to improved efficiency or service quality, akin to a hyperdrive stuck in an inefficient loop, failing to propel forward.
  • Data-Driven Decision-Making (Ignoring the Holocrons): The project does not leverage data and insights for informed decision-making, much like ignoring the knowledge contained in the Holocrons.
  • Service Health report (Disrupted Galactic Balance): Lack of or non-descriptive reports of current operational service health indicates a mismatch between ITSM approach and business objectives, disrupting the balance within the galaxy.

The final checklist item that warrants careful consideration is also, by far, the most crucial. Unfortunately, it is often overlooked. If your service management implementation has persisted in the same state for an extended period, it should raise significant concern. Ideally, your service management practice and tooling should evolve in tandem with the dynamic needs of the business, avoiding stagnation.

Identifying multiple items on this checklist may indicate that your ITSM implementation is experiencing significant challenges or shortcomings. It is essential to address these issues proactively and consider revising your ITSM strategy to improve the implementation's chances of success and to better align it with your organization's goals.
