Communication is a fundamental part of our lives, whether in personal interactions or professional settings. It's derived from the Latin word "communis," meaning commonness. But what does that mean in the workplace? How can understanding communication styles enhance our ability to connect, inspire, and lead? Let me share my insights.

Establishing Common Ground

Communicating means striving to establish common ground. It’s about sharing information, building rapport, inspiring others, or persuading someone to see your point of view. Recognizing another's preferred communication style can be a powerful tool in achieving this goal.

For example, some people love details, while others, like myself, prefer the big picture. My assistant, Melia Espejo-Amira, CWCA, CEAP , complements my big-picture thinking with her attention to detail. Such understanding and balance can create harmony.

The Significance of Communication Styles in Training Administrative Professionals

In my years of guiding administrative professionals worldwide, I've noticed that understanding diverse communication styles significantly improves our ability to communicate effectively. Through our Star Achievement Series? and World Class Assistant? courses, we delve into these nuances, but let's dive in a little deeper here.

Communication Styles: A Closer Look

Here's a brief overview of the characteristics of each communication color:

  • Red: Action-oriented, impulsive, wants clear short-term objectives.
  • Yellow: Empathetic, intuitive, values human relationships.
  • Blue: Creative, conceptual, good listener.
  • Green: Precise, analytical, prefers consistency and logic.

*Note: These colors aren't about personality but communication preferences. That's important to keep in mind.

Applying Understanding of Communication Styles

Once you identify someone's communication type, you can apply this knowledge in various ways:

  • Complement Your Leader's Style: Balance their style with your own. If they prefer big-picture thinking, provide the details they may overlook.
  • Build Rapport with Others: Tailor your communication to others' preferences, making them more receptive to your ideas.
  • Tailor Messages to Different Styles: Here's how you might adapt your messages: Red (Big picture; brief), Yellow (Friendly; emphasize feelings), Blue (Casual; provide information in small bits), and (Green: Organized; precise).
  • Break Through Social Barriers: Promote understanding and respect for various styles and cultures.
  • Enhance Persuasive Techniques: Influence decisions and make a positive impact.
