(managing $40 billion in AUM), I had the privilege of crafting unforgettable group experiences for clients, partners, and employees over a rewarding three-year tenure. This journey, although exhilarating, was a complex tapestry woven with challenges.

Let’s embark on a journey through the labyrinthine process of booking group experiences, using the example of planning a private fine dining soirée for an intimate gathering. As we navigate this intricate dance, you’ll gain insights into the complexities involved at every step.


Step by Step Through the Maze:

Imagine, for a moment, that I am the client, seeking to create a private fine dining experience and networking evening at an exclusive restaurant in Delhi, hosting an intimate gathering of 40 UHNI invitees. Here’s a glimpse into the labyrinthine process.

The Quest for the Perfect Venue:

The process kicks off with extensive online research to identify venues that can comfortably accommodate our group. Each potential option undergoes thorough scrutiny, considering factors such as location, ambiance, exclusivity, and capacity.

Reaching Out to Venues:

After painstakingly shortlisting potential venues, the next step is reaching out to each of them individually. Enquiries are submitted via online forms, emails are penned, or the toll-free number is dialled, all in pursuit of one critical question — Is the venue available?

Exploring Group Packages:

When availability aligns with our needs, venue partners send over an array of group package deals to consider. It’s vital to note that every aspect of this process relies on manual communication through a series of phone calls and messages.

The Art of Negotiation:

Having pinpointed the perfect venue, we dive into negotiations. This phase heavily relies on relationships and the magnitude of the deal. It’s a delicate dance aimed at securing the best terms to meet the needs.

Securing the Reservation:

Following successful negotiations, the venue partner sends an invoice via email for an advance deposit. The full and final bill is often generated at checkout or billed directly to the company based on the established relationship.

Compliance and Vendor Registrations:

However, corporate compliance and vendor registrations can introduce further delays. Ensuring that all legal and financial aspects are meticulously handled is absolutely crucial.

Confirmation and Receipt of Payment:

Upon receipt of the advance payment, the venue partner confirms payment via email, marking a significant milestone in the booking process.

Fine-Tuning the Nitty-Gritty:

With the reservation firmly in place, attention turns to fine-tuning the finer details. This includes selecting food and beverage offerings, sending out invitations, managing RSVPs, and sharing the confirmed guest list with the venue for a seamless check-in experience.

The journey from researching suitable venues to hosting a flawless corporate event for UHNIs is a complex and time-consuming process, often spanning a minimum turnaround time of 7–14 working days. It necessitates a meticulous approach, strong negotiation skills, and an innate talent for relationship-building.
