A Multitasker's Guide to Time Management

When you are building a business, time is your most precious resource. Every detail requires your attention. Things take longer than you expect. Inevitably, you have responsibilities outside of work that take time.

Time management is always valuable, but right now it's essential. You must create a time management plan that works for you to avoid being overwhelmed before you even start work.

?I'm going to show you how to get things done without losing your mind. I did my research and now I know how to do it.?

Start by setting goals.

Don't just jump straight in every day. Give yourself time to think about what needs to be achieved.

From the very beginning of my business, I have been motivated by having a concrete goal in front of me every day.

Make your goals SMART by answering these questions when you set them:

  • Specific: Be specific about what you want to achieve.
  • Measurable: Set yourself clear, measurable goals.
  • Attainable: Make sure your goals are realistic?
  • Relevant: Why does this goal matter?
  • Time-bound: Set deadlines for your goals.

Setting achievable goals helps you get more done and prevents mistakes.

You must find a technique to achieve these objectives.

There are many different ways to manage your time – our experts recommend testing different strategies to find the best one for you.

  • Schedule each task on a calendar.
  • Add a buffer to the calendar.

Clara's approach is simple: separate projects and priorities so that they feel doable, not daunting.

This is based on the Eisenhower Matrix, which was developed by US President Dwight Eisenhower himself. He made his choices by placing tasks on a matrix that separated urgent from important. This allowed him to decide what to do first, what to schedule and delegate, or what not to do at all. This method works for anyone, regardless of their preferred time management tools. Draw the app, notepad or dial yourself.

The Pomodoro Technique is another method that can be used to tackle tasks of any size. It's simple;

  • Choose your task.
  • Set a timer for 25 minutes.
  • Keep working until the timer rings.
  • Mark the paper with a tick to show you have finished.
  • Take a short break now.
  • Repeat this process and take a longer break after you have completed four sessions.

Protect your time from interruptions and distractions.

A time management plan is only effective if you stick to it. This is one of the most important lessons for entrepreneurs: Stay focused.

Meetings must not exceed their allotted time.

Every meeting has an agenda. If not, it's lunch or dinner.

We respect our colleagues' time and stick to deadlines.

Our customers and colleagues can always rely on us to deliver excellent work on time.

These rules also ensure that staff avoid wasting their time. If a topic is not on the agenda, it is not part of the meeting. We defer discussion to a later date. If the meeting agenda shows that you cannot contribute to a topic, you simply decline the invitation. Just decline the invitation. The deadline is fast approaching. You focus on that and postpone new work to a later date.

It is crucial to be clear with colleagues, clients and customers about your availability. This can be challenging if your work is conducted virtually.?

Learn to say 'no'.

People will always ask you for more time, even if you don't have time to share. I need to know how to deal with this. I say 'no' in the most polite and helpful way possible and make sure my client knows exactly what to expect. Saying 'no' is a difficult skill to learn, but it's worth it.

If you don't set boundaries and constantly work, you will burn out. You need to have lines in the sand.
