Microsoft Purview Message center updates: September 2024

Welcome to the first episode of my Purview update series! In this edition, I'll be covering the latest updates from the Microsoft Message Center for September 2024, with a focus on Microsoft Information Protection, Data Loss Prevention and Audit. These updates bring new features and enhancements that can help improve data governance and compliance. Let's dive in and see what's new!


Information Protection:


MC882266 - Microsoft Purview | Information Protection: Message Recall for encrypted emails in Microsoft Outlook

Coming soon to Microsoft Purview, Information Protection's Advanced Message Encryption will provide email encryption in Microsoft Exchange Online and integrate with Message Recall for emails stored in a cloud mailbox and sent within an organization. Users with Microsoft 365 E5 or Office 365 E5 licenses will be able to recall encrypted emails from their Sent folder using the new Microsoft Outlook for Windows and Outlook on the web. The same behaviors for unencrypted emails will apply to encrypted emails.

This update is associated with Microsoft 365 Roadmap ID 413431.

Timeline:

The rollout will begin in early October 2024 and is expected to be completed by late October 2024.

Impact on your organization:

Before this rollout, users with the specified licenses cannot recall encrypted emails from their Sent folder, as the Message recall control is greyed out. After the rollout, these users will be able to recall encrypted emails from their Sent folder. This feature will be enabled by default for users with the specified licenses.

Preparation:

No admin action is required before the rollout. However, you may want to inform your users about this change and update any relevant documentation.


MC883195 - Microsoft Outlook: Updated handling of PDFs with Purview Information Protection sensitivity labels for iOS and Android

Starting from early September 2024, users in Microsoft Outlook for iOS or Android who select a PDF file protected with Microsoft Purview Information Protection sensitivity labels will be prompted to open the file in the Microsoft 365 app.

Timeline:

This rollout will be completed by late October 2024.

Impact on your organization:

Previously, users received a message indicating that the file needed to be opened with a compatible app. After the rollout, users will see a button suggesting they open the file in the Microsoft 365 app if it is installed, or to install the app from the store if it is not. This feature is enabled by default.

Preparation:

No admin action is required before the rollout. However, you may want to inform your users about this change and update any relevant documentation. And maybe install the Microsoft 365 app by default ;)

MC888878 - Service health and Message center: Azure Information Protection consolidation

To streamline our communications, we are consolidating events related to 'Azure Information Protection' under the 'Microsoft Purview' service listing in Service health and Message center.

Timeline:

This change will be implemented by the end of September 2024.

Impact on your organization:

All communications regarding 'Azure Information Protection' will now be listed under 'Microsoft Purview' in Service health and Message center.

Preparation:

Please update your administrator training and documentation accordingly. Additionally, if you wish to continue receiving email notifications for 'Azure Information Protection' events, ensure your email preferences include 'Microsoft Purview' within the Service health and Message center pages.


Symbol and name change

MC887373 - (Updated) Microsoft Purview: Minor encrypted message portal design updates, URL to remain the same

Updated September 16, 2024: Based on customer feedback, we have decided not to proceed with the domain change as previously communicated. Users will continue to see the URL outlook.office365.com/Encryption. Thank you for your feedback.

We will, however, implement minor design updates on the portal, including changes to fonts, colors, and controls, to align with Purview branding. These updates should not disrupt users.

Timeline:

The rollout will begin in mid-October 2024 and is expected to be completed by mid-December 2024.

Impact on your organization:

Users will notice minor design changes within the UI.

Preparation:

Consider updating your training and documentation as needed.

Summary of original message:

The Microsoft Purview Message Encryption portal provides access to encrypted messages sent from your organization's users to external recipients. The cloud.microsoft domain was introduced in early 2023 to offer a unified, trusted, and dedicated DNS domain space for hosting Microsoft’s first-party authenticated SaaS products and experiences. With this rollout, selected Microsoft products and scenarios were to transition to a similar static.microsoft domain. As part of this transition, the portal's design (fonts, colors, controls, and more) was to be adjusted to align with Purview branding and the domain change.


MC800494 - Microsoft Purview | Information Protection: Save filters for Microsoft 365 Activity Explorer

Updated September 17, 2024: We have revised the rollout timeline. Thank you for your patience.

Coming soon to Microsoft Purview | Information Protection: Admins will be able to save filters for Microsoft 365 Activity Explorer and quickly apply them later from a set of saved filters. These saved filters can be shared with other team members to enhance collaboration and productivity. This update is associated with Microsoft 365 Roadmap ID 374375.

Timeline:

  • The Public Preview will roll out from late October 2024 (previously early September) to early December 2024 (previously late September)
  • General Availability Worldwide will roll out from early December 2024 (previously early October) to late December 2024 (previously late October).

Impact on your organization:

Before this rollout, admins could not save filters or share filter sets with colleagues. After the rollout, admins will be able to save new filter sets in Activity Explorer, apply filters, and select Save. This feature will be on by default and available to all Activity Explorer users.

Data Loss Prevention:


MC822718 - Microsoft Purview | Purview Data Loss Prevention: New Microsoft Exchange predicates

Updated September 12, 2024: We have revised the rollout timeline. Thank you for your patience.

Microsoft Purview is introducing four new Data Loss Prevention (DLP) predicates for Microsoft Exchange (EXO):

  • Message is not labeled: Detects if the message body has no label.
  • Attachment is not labeled: Detects if there is any attachment without a label.
  • Message contains: Detects if the message body contains specified sensitive information types (SITs) or labels (no support for trainable classifiers or non-advanced rules yet).
  • Attachment contains: Detects if an attachment contains specified SITs or labels (no support for trainable classifiers or non-advanced rules yet).

This update is associated with Microsoft 365 Roadmap ID 377000.

Timeline:

The rollout will begin in late September 2024 (previously late August) and is expected to be completed by late October 2024 (previously late September).

Impact on your organization:

Admins can now create new DLP policies or edit existing ones to include predicates that target specific email components like the email body or attachments. This feature will be available by default.

Preparation:

No admin action is required before the rollout. However, you may want to inform your users about this change and update any relevant documentation.


MC894577 - Data loss prevention and Oversharing in New Outlook – Supported conditions

We're introducing new and improved Data Loss Prevention (DLP) Policy tips in New Outlook to support top DLP predicates, exceptions, advanced classifiers, and override capabilities. These features are enabled based on your license type.

For E3 and equivalent licenses, DLP Policy tips in New Outlook for Windows will support conditions such as content containing out-of-the-box or custom sensitive information types and content shared from Microsoft 365.

For E5 and equivalent licenses, additional conditions will be supported, including content containing sensitivity labels, sender and recipient attributes, and subject keywords. Advanced classifiers like Trainable classifiers, Exact Data Match (EDM), and Named Entities are also supported, along with an override feature that allows end users to modify or override policies if permitted by the DLP rule configuration.

For more details about conditions, admins can refer documentation here.

Please note that any existing conditions outside this updated list, which may currently trigger Policy Tips in New Outlook, will stop working after October 18th, 2024.

Timeline:

The rollout will begin in late October 2024 and is expected to be completed by late November 2024.

Impact on your organization:

  • If you are not using New Outlook, this will not impact you.
  • If you do not configure DLP policies to enable policy tips for emails with sensitivity labels, this will not impact you.
  • If your organization currently uses DLP policies to enable policy tips and oversharing pop-ups, you will soon see them in New Outlook with an enhanced experience.

Preparation:

No action is required from you at this time. You can access Data Loss Prevention in the Microsoft Purview compliance portal to create new DLP policies or leverage existing ones for added security.

MC901829 - Microsoft Purview | Data Loss Prevention: New conditions for Mac endpoints (file size, partially scannable, etc.)

Coming soon to Microsoft Purview | Data Loss Prevention: Support for seven new conditions that can be used in policies for Mac endpoint devices. This update is associated with Microsoft 365 Roadmap ID 410523.

Timeline:

  • The Public Preview will roll out from mid-November 2024 to late November 2024
  • General Availability (Worldwide) will roll out from mid-December 2024 to late December 2024.

Impact on your organization:

Before this rollout, these conditions only applied to Windows endpoint devices. After the rollout, admins can leverage these new conditions across Mac endpoints as part of their DLP Policy definition. The seven supported conditions are:

  • Document is unscannable
  • Document didn't complete scanning
  • Document name matches patterns
  • Document size equals or is greater than
  • Document Property Is
  • Document name contains words or phrases
  • Document is password protected

Preparation:

This rollout will happen automatically by the specified date with no admin action required. However, you may want to notify your users about this change and update any relevant documentation. Review your current configuration to determine the impact on your organization.


Purview Audit


MC789312 - (Updated) Microsoft Purview | Audit search: New filters will be available

Updated September 4, 2024: We have revised the rollout timeline. Thank you for your patience.

In Microsoft Purview, the audit search feature provides access to critical audit log event data, enabling deeper insights and investigations into user activities. The Microsoft Purview Compliance portal’s audit search UI currently includes several search fields such as date range, activities, workloads, and users. With a recent update, we have added four new fields to the audit search UI:

  • Id: Unique identifier of an audit record.
  • UserType: The type of user that performed the operation.
  • UserKey: Azure Active Directory Object ID in GUID format.
  • ClientIP: The IP address of the device used when the activity was logged.

This update is associated with Microsoft 365 Roadmap ID 384092.

Timeline:

  • Public Preview: Rolling out from early November 2024 (previously mid-August) to mid-November 2024 (previously mid-September).
  • General Availability (Worldwide): Rolling out from mid-November 2024 (previously mid-September) to late November 2024 (previously mid-October).

Impact on your organization:

Security admins using the audit feature in the Microsoft Purview compliance portal will be able to utilize these four additional fields to retrieve relevant audit logs.

Preparation:

No admin action is required before the rollout. However, you may want to inform your users about this change and update any relevant documentation.

MC789309 - (Updated) Microsoft Purview compliance portal | Audit: New Cloud Policy service audit logs for policy changes

Coming soon to the Microsoft Purview compliance portal, the Cloud Policy service will integrate with Microsoft Purview Audit. This update is associated with Roadmap ID 394280.

Timeline:

The rollout will begin in early December 2024 (previously mid-June) and is expected to be completed by late December 2024 (previously late August).

Impact on your organization:

The Cloud Policy service allows Microsoft 365 admins to configure policies for Microsoft 365 Apps for enterprise and assign these policies using Microsoft 365 groups or Entra ID groups. Once configured, these policies are enforced automatically as users sign in and use Microsoft 365 apps. Changes made to policy configurations (create, update, delete) will be stored in Purview Audit, enabling admins to search and review change history. These logs will be available to Purview Audit Standard Users.
