Microsoft 365: what’s new and noteworthy

Microsoft continues to refine its Microsoft 365 platform, all while making a noticeable bet on Artificial Intelligence (AI). Here's what's caught our eye in its recent M365 updates – 5 highlights that are ready now or coming soon.

1. Fluid Framework 2.0 Preview: building co-authoring apps gets easier

On April 14th, Microsoft announced the Fluid Framework 2.0 Preview. For developers, this release promises to change real-time co-authoring experiences across applications. The updates include the new SharedTree Distributed Data Structure (DDS), several improvements in Fluid Developer Tools, and the offering of a fluid-telemetry package. Fluid Framework 2.0 is expected to become generally available in summer 2024.

What’s new?

This preview has simplified application programming interfaces (APIs) that make building co-authoring features less complex. Developers can now leverage pre-built components for everyday tasks like data synchronization and presence awareness (seeing who else is working on a document). This framework translates into faster development cycles and more robust co-authoring experiences for end users. As a result, technology experts can focus on functionality instead of getting bogged down by complex code.

2. SharePoint Embedded is nearing general availability

SharePoint is a popular platform that allows companies to create intranet sites, manage document lifecycles, collaborate on projects, and streamline workflows. SharePoint Embedded prioritizes a library-like experience controlled by the developer. It's less about embedding existing SharePoint UI elements and more about leveraging SharePoint's powerful backend for content management within applications.

SharePoint Embedded is a versatile tool that is often suitable in scenarios where an organization seeks to integrate SharePoint capabilities into its existing applications. It can also be employed to develop custom applications that demand close integration with SharePoint functionality, such as document management or business process automation.

What to expect

As SharePoint Embedded becomes widely accessible for production use in the first half of 2024, Microsoft will be releasing updated documentation and code samples. These resources will be crucial for developers who want to integrate SharePoint functionalities into their custom applications.

3. Branding in SharePoint & Viva Connections is being revamped

A strong brand identity is essential for any organization, as it may be reflected in all aspects of its online presence, including internal collaboration tools. This is an essential principle of M365, and with the latest update, you can now leverage new font options within SharePoint and Viva Connections to support consistency with your company's branding guidelines.

What’s new?

This update allows you to customize the fonts used across your SharePoint sites and Viva Connections dashboards. They can be applied to various elements, including headings, body text, or navigation menus. You can either use the standard font packages or create a custom font package to change the fonts on your SharePoint site or Viva Connections experience.

4. A refreshing take on task management comes with a new Planner app

Microsoft is overhauling its popular task management app, Planner. The new version promises a streamlined experience for tackling everything from simple to-do lists to complex enterprise projects. With its improved visuals, AI assistance, and deeper connections to other tools, managing your to-dos with Planner will be easier. The solution will debut within Microsoft Teams in early 2024, with a dedicated web version to follow later in the year.

Key advantages

  • Centralized project management. The new Planner's ability to scale from simple tasks to complex projects brings an advantage to companies.
  • Streamlined workflows. Embedding Planner into Teams and the web environment promotes efficiency. Employees can manage tasks within their existing communication and collaboration spaces.
  • Improved visibility. Leaders gain real-time insight into project status across the organization.
  • Cross-team collaboration. Large enterprises often struggle with cross-functional projects. Planner's unified nature and potential for enhanced collaboration functions break down silos.

One important remark: it's worth looking out for specific features in the new Planner that may offer further enterprise-level advantages, like better reporting tools or compliance integration once it's fully released.

5. New section backgrounds in SharePoint will soon become available to users

Spice up your SharePoint Pages and News articles with eye-catching section backgrounds! Microsoft has rolled out features that allow you to integrate custom images or gradient colors and adjust page sections to your preferences. This update also increases the accessibility of the user experience as it offers better focus areas, fill modes, or opacity controls.

Why it matters

  • Visual appeal. Break up plain layouts and add a touch of personality to your SharePoint content.
  • Highlight content. Use backgrounds to make vital sections stand out and draw the reader's eye.
  • Brand consistency. Upload custom images to reinforce your company's branding within your intranet.

How to get started:

  1. Open a SharePoint Page or News article in Edit mode and select the Section panel.
  2. Click on the Edit section.
  3. Choose from a selection of gradient colors and images to customize user experience.

This feature might take a bit of time to reach all tenants as it is being used by target release customers for now. If you don't currently see the option, check back soon.

There’s more to come

These updates offer just a glimpse into the future of work, where intelligent tools and new integrations empower businesses to achieve their goals. We're excited to continue exploring the possibilities and share our insights with you. Stay tuned for more M365 updates in the next edition!
