Hey there,
We recently released new insights in our latest report, the Occupancy Intelligence Index, and we’re excited to continue sharing them with you. This week, we’re focusing on meeting room optimization and how right-sizing your spaces can unlock greater efficiency across your workplace.
Ready to learn how to make smarter, data-driven decisions about your meeting rooms?
Let’s dive in.
Right-sizing meeting rooms is key to unlocking the full potential of your workspace. It not only helps you optimize space utilization and increase availability, but also removes obstacles and enhances the overall workplace experience for employees.
To make informed adjustments to your meeting spaces, it's essential to understand how people are using them and how many occupants are typically in the room. According to the latest Occupancy Intelligence Index , regardless of a room's capacity, an average of only 1.78 people occupy a meeting room at any given time.
This marks a 7.7% decline from the previous Index, highlighting persistent inefficiencies in meeting room usage. Rooms with a capacity of six or more are often underutilized throughout the day. Globally, this translates to over 6,000 meeting spaces potentially going to waste.
This trend aligns with the rise of hybrid work. With fewer people physically attending meetings, larger rooms are often used for virtual calls. As a result, there's a growing demand for smaller, private spaces that can be utilized throughout the day.
Repurposing your space doesn’t have to mean a full office redesign. There are time and cost-effective ways to adjust your office layout to better meet the needs of your employees, like adding dividers and planters and updating technology.

We’ve worked alongside numerous customers across industries to find the ideal meeting room configurations and provide guidance for better space usage in their workplaces. Sometimes, it’s not just about resizing rooms but implementing processes to ensure they’re being used effectively, or making thoughtful design changes to improve privacy and functionality.
No two offices are the same, but there’s always an opportunity to learn from others and find inspiration in their stories. We’re always impressed by our customers' innovation and ideas when it comes to workplace optimization.
If you’re looking for guidance and inspiration I highly recommend joining us at the Occupancy Intelligence Summit on Tuesday, September 17th . If you’re already attending, invite your team. Not only will you all learn something new from our customer speakers, but you’ll be front row for the unveiling of the next generation of occupancy intelligence.
This isn’t just a feature update - this will change how you use data in the workplace whether you’re an occupancy planner, space designer, or facilities director.
Hope to see you there!
