The University of Illinois College of Medicine Peoria (UICOMP) educates 265 medical students and more than 300 physician residents and fellows annually. Additionally, it provides clinical care to more than 31,000 patients annually and conducts basic science, clinical and outcomes research. UICOMP is a regional campus of the University of Illinois College of Medicine, a part of the University of Illinois Chicago and University of Illinois System. Position Summary Employees at this level engage in overseeing certain administrative functions of the residency/fellowship program which are characterized by decision making and responsibility under the supervision of the Program Director(s). Such duties include management/oversight of compliance with ACGME regulations. Job duties are also characterized by high impact activities that can affect more than one program and for which errors can have serious consequences. Duties & Responsibilities ? Manages day-to-day operations and decision making in support of Program Director(s) and program(s). Perform administrative operations to manage, support, and be a resource for compliance to the Program Director and faculty. Serves as a trusted resource, support and collaborator for faculty, residents, fellows, staff, department, community partners and outside agencies. May represent the Program Director to outside agencies. Provide programmatic problem solving by assisting in developing initiatives to address weaknesses, scheduling conflicts, and accreditation documentation. Ensure adequate faculty, fellow, and resident staffing of clinics and inpatient services. Suggests and implements improvements and development plans for program, faculty and residents/fellows in collaboration with the program director(s). Works to ensure accreditation compliance with all entities within the program and for faculty/ residents/fellows. Obtains and maintains required information and documentation for submission to GMEC, ACGME, Sub-specialty boards, IRIS, scholarly activity, alumni, resident and/or fellow files/portfolios. Manages the Resident Management System that houses the resident/fellow education data per program requirements and run reports on data for clinical competency. Supports Team Building within the program with residents/fellows and faculty activities. Tracks Program expenses for initiatives supported with funding provided by GME, OSF or UICOMP department sections, one of these areas when submitted for payment approves expenses. Maintains Required memberships for Program, Program Director and residents/fellows. Ensures Policy compliance and maintenance of program specific curriculum, didactic and handbooks with edits and revisions. Manages schedules for program using outlook calendars, Amion Rotation Scheduling software or other rotation software systems and this includes the programs rotation master schedule. Facilitate outside rotators such as visiting residents and students. Provides Committee Support to program by scheduling sessions, recording minutes and distribution of materials. Manages data development, collection and tracking to ensure all required personal and educational documentation is produced/provided, and stored. ? Support the residency/fellowship programs by administering, mentoring and collaborating with program director, residents/fellows, and other programs. Obtains and maintains Resident required documentation for hospital employments such as contracts, license, visa status, ECFMG, credentialing, resident files/portfolios, duty hours, procedures, and leave submission/tracking. Utilizes Resident Management System, trains new users on the use of New Innovations. Coordinate the onboarding and Orientation activities for the program and processes all termination. Ensures mandatory compliance and training requirements for rotations, institutional and programmatic policy, duty hours, surveys, leave requests, rotations, health, testing, and medical records areas. Alerts the Program Director of sensitive resident issues that may inhibit performance in meeting requirements. Oversee exam preparation, scheduling, compliance, and proctoring of such exams as USMLE or COMLEX, In training, and any subspecialty-required exams. Assists and advises Chief Residents with responsibilities by mentoring and non-clinical training as needed. Process and track Resident Education allowance?


Minimum Qualifications

  1. High school diploma or equivalent.
  2. Any one or combination totaling four (4) years (48 months), from the categories below:
  3. College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)
  • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)

  1. Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems
  2. Work experience totaling one (1) year (12 months) comparable to that gained at the Medical Education Program Specialist level or similar experience within a medical education program.

Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.
