One of my IT management frequent sayings is, “If you aim at nothing you are sure to hit it.”?Developing a multiyear IT systems plan is a key component to IT vendor management. The plan should be business driven, customer focused (citizen focused for government entities), and aligned with an IT Enterprise Architecture and Cybersecurity strategies. If you do not align IT vendor to your strategy, they will align their services to theirs! Someone must own this ongoing process of updating the Multiyear Plan and assuring vendor alignment with it. Coordinating this activity needs to be their job. “If nobody owns it, nobody owns it.”

IT Vendor Management is a Job

Many organizations leave IT vendor management to the procurement function. This is a mistake. The procurement function focuses vendor on acquisition mostly from a financial and legal perspective. Managing an electrical contractor or paper supplier is vastly different than the enormous, complicated job of managing IT vendors. Usually, procurement functions have little to no expertise in managing the technical aspects of IT vendor management. Managing the multitude of IT vendors with all of their interdependencies is a fulltime job. Embedding IT vendor management within IT in cooperation with the corporate procurement function covers all the bases.

Strategic Vendor Selection

The foundation of effective IT vendor management lies in strategic vendor selection. Before engaging with a vendor, organizations must clearly define their business needs and objectives. By aligning vendor capabilities with specific requirements, organizations can identify partners who can provide the right expertise, products, and services to meet their unique needs. Additionally, a thorough evaluation of vendors based on factors like reputation, financial stability, scalability, and security is essential to minimize future risks.

Relationship Management

Building and nurturing strong relationships with IT vendors is crucial for long-term success. Continuous communication, collaboration, and stakeholder interests are key components of relationship management.
