Mastering Time Management: 3 Strategies That Changed My Workflow
Since the start of 2025, my schedule has been packed with an average of about six to eight meetings daily. It’s a great problem to have and you won't hear me complain, but it has also forced me to become more intentional about how I manage my time.
As our business scales, I’ve had to adjust, finding ways to stay organized and productive without burning out.
Here are three strategies that have made the biggest impact for me personally:
Stacking Meetings for Momentum and Efficiency
Let's start this off with a bit of a hot take... I prefer scheduling my meetings consecutively rather than spacing them out. While many avoid back-to-back meetings out of fear of overlap, I’ve found that keeping them tightly scheduled helps me stay in the zone, remain engaged, and free up larger blocks of time for deep work later in the day.
When meetings are spread throughout the day, I find myself losing momentum. 30 minutes of work between calls isn’t enough to dive into a major task and I constantly feel like I am playing catch up. By grouping meetings together, I can dedicate uninterrupted time later for strategic projects. The key is managing conversations efficiently, keeping discussions focused, and making the most of your time.
Prioritize Delegation
I’ll admit it, I am a control freak. I have been this way for as long as I can remember and have always felt that keeping things on my plate was the only way to ensure they would get done correctly. But as POWER has grown, I’ve learned that delegation isn’t just necessary; it’s a competitive advantage. I can not understate just how much my team has helped me in this department, and how much better my life is because of it.
Trusting my team has been a game-changer and by empowering them to take on key responsibilities, I’ve not only lightened my own workload but also accelerated our ability to onboard clients and execute projects faster. Scaling a business requires leaders to let go of certain tasks and empower those around them.

One of my personal rules for time management is simple: respond quickly. Whether it’s an email, text, or phone call, I aim to reply as soon as possible.Why? Because setting the tone early in a relationship matters. When clients and colleagues see that I prioritize their needs, it builds trust and credibility.
Now you might be thinking to yourself "Duh Colton this makes complete sense but how does that impact your time management overall?" Well I have found that over time, that quick responsiveness has earned me flexibility. If I ever need extra time to reply during a particularly hectic period, people are far more understanding because they know that far more often than not, I move with urgency.
This approach isn’t just for client service—it applies across industries. If you want to strengthen relationships and improve efficiency, try leading with speed. It doesn’t mean you have to be available 24/7, but being proactive with communication will save you time in the long run.
