As a trainer, I have always believed in communicating elaborately, completely and ensuring that everybody who listens to me understands what I intend to say. A few days ago, I've come to realize the importance of concise communication in effectively conveying information and engaging specific audiences.
Why now, because recently, during an experience interview with #jombay as part of the #hr30under30 , I recognized the need to further refine my skills in concise communication as I was unable to answer my questions completely because each of the answers was recorded virtually and I had to answer it within a stipulated timeframe. Hence, I've contemplated, researched, and put together a 5-step process for you and me to help us condense and communicate more effectively. If you've faced a similar challenge, this guide might be just what you need! Let's dive in:
Step 1: Know Your Objective ??
Before communicating anything, be clear about your objective. Ask yourself: What is the main message I want to convey? What do I want my audience to take away from this? Having a well-defined objective will serve as a guiding light and keep you focused on the core message.
Daily Habit: Before any communication, take a moment to jot down the main objective of your message.
Step 2: Cut the Clutter ???
Keep your message focused and trim away any unnecessary fluff. Avoid using jargon or technical terms when simple language will suffice. Your goal is to make your message easily understandable by anyone. If you find long sentences or complicated phrases, try breaking them down into smaller, digestible pieces.
Daily Habit: Challenge yourself to write shorter sentences and use simpler words in your daily written communications. Whether it's an email or a text message, practice brevity to convey your ideas more effectively.
Step 3: Organize Your Thoughts ???
Ensure your communication follows a logical structure. Whether it's a training session, a presentation, or an email, arrange your points in a coherent manner. Start with an introduction that grabs attention, followed by the main points you want to cover and conclude with a clear call-to-action or summary.
Daily Habit: Make it a habit to outline your thoughts before important presentations or training sessions. Structuring your content in a logical manner will help you deliver a clear and concise message.

Step 4: Embrace Visuals ???
Visual aids can significantly enhance your ability to communicate concisely. Utilize charts, graphs, images, and bullet points to present information in a more appealing and understandable way. Remember, a picture is worth a thousand words, and using visuals wisely can save you from unnecessary explanations.
Daily Habit: Force yourself to use a quick sketch on a whiteboard or a chart in a presentation, visuals can simplify your message.
Step 5: Practice, Seek Feedback, and Refine ??
Practice makes perfect! Deliver your message to a friend, colleague, or even a mirror. Pay attention to the time you take to communicate and seek feedback on areas you can improve. Embrace constructive criticism as it will help you refine your communication skills and make them more concise.
Daily Habit: Practice summarizing news articles or topics of interest in just a few sentences (Yes, get back to basics). This exercise will sharpen your ability to distill information to its essence and communicate it concisely.

Always keep your audience in mind. Tailor your communication style and language to resonate with them. Whether it's the senior management, fellow trainers, trainees, or an interview panel, understanding your audience will ensure that your message hits the mark.
