Mastering Assertive Communication: A Guide for Young Professionals

Whereas job titles and duties can vary from company to company, you’re sure to find similarities and universal appeal for a number of core skills. One of these requisites is the ability to communicate effectively. This could include essential written and oral skills, as well as a working knowledge of email and social media, and proficiency in public speaking.

Whether you’re a seasoned business leader or a freshly minted college graduate, effective communication is a cornerstone of success.

In this 10-Minute Mentor edition, I’ll explore the topic of assertive communication, outline its benefits in professional situations, and provide valuable coaching tips for young professionals to enhance communication skills.

Understanding Communication Styles

First, let’s cover the three main communication styles.

Passive Communication: Passive communicators tend to avoid conflict, often leading to unexpressed thoughts and feelings. These individuals may struggle to stand up for themselves and can be easily manipulated, especially by those with more aggressive styles. These individuals can also be people-pleasers.

Aggressive Communication: On the other end of the spectrum, aggressive communicators tend to dominate conversations, often at the expense of others. This approach can create hostility and alienate colleagues. Aggressive communicators tend to prey on those who are more passive to get what they want.

Assertive Communication: Assertive communicators strike a balance. They express their thoughts and feelings clearly, respect others' viewpoints, and stand up for themselves without being pushy. This style fosters open and productive discussion. Assertive communicators feel empowered when expressing their ideas and views, without feeling the need to overpower others.

The Benefits of Assertive Communication

Why is assertive communication so vital for young professionals? Here are some key benefits:

Enhanced Collaboration: Assertive professionals foster a more collaborative work environment, where ideas flow freely, and potential conflicts are resolved constructively.

Increased Respect: Colleagues and superiors are more likely to respect assertive individuals who communicate confidently and honestly. Even when ideas or stances differ, assertive professionals can express their views in a respectful manner that, in turn, gains the respect of others.

Effective Problem-Solving: Assertive communication aids in addressing issues and finding solutions proactively. Assertive individuals understand the importance of focusing on a solution rather than harping on the problem.

Reduced Stress: When you can express yourself assertively, it reduces internal tension, contributing to a healthier work-life balance. This is especially helpful when you need to have difficult conversations with colleagues or peers.

7 Coaching Tips to Improve Assertive Communication Skills

Here are seven coaching tips that will help you improve your assertive communication skills. Practice these actionable tips in your day-to-day interactions.

1. Practice Active Listening: Be genuinely present in conversations, showing that you value others' input. Active listening involves listening to and considering the other person’s views, and then responding thoughtfully rather than reactively.

2. Use "I" Statements: Express your thoughts and feelings using "I" statements, such as "I feel" or "I think," to convey your perspective without blaming or accusing others.

The oppositive are “You” statements, such as “You did” or “You said.” These statements can make the other person feel as if they are being attacked, which can trigger their defenses.

3. Body Language Matters: Maintain eye contact, use a steady tone, and keep an open posture. Your non-verbal cues can reinforce your assertiveness .

4. Stay Calm Under Pressure: In challenging situations, take a moment to collect your thoughts and respond rather than react emotionally. Deep breathing exercises can help during stressful and challenging situations.

5. Set Boundaries: Clearly define your boundaries and communicate them respectfully. This helps prevent over-commitment and burnout. This also helps to clearly separate the things you view as acceptable, versus those that are unacceptable.

6. Feedback Loop: Encourage open feedback from colleagues and superiors. Constructive criticism can help you grow as an assertive communicator.

7. Continuous Learning: Remember that assertive communication is a skill that can be developed over time. Read books, attend workshops, and seek mentors to further refine your approach.
