Time and attention are undoubtedly some of our scarcest resources in the fast-paced business world. This fact is never more evident than when we gather in meetings - where these resources are invested at a premium. Recently, I facilitated a thoughtful discussion among Chiefs of Staff, where several key insights emerged that changed perspectives on the significant value of meetings.

Meetings as a Valuable Investment:

One unanimous sentiment that resonated throughout the conversation was the acknowledgment that meetings are the most expensive form of communication. With this realization, we concluded that if the cost of meetings is high, the value we demand from them should be equally significant. We agreed that meetings should be reserved for instances where interaction is necessary or when there is a need to communicate a topic of substantial importance.

The CoS as Meeting Architect:

Chiefs of Staff wear multiple hats in the meeting room - they are the planners, participants, and conductors. It's through these roles that we gain invaluable insights and information. Building relationships and rapport emerged as one of the primary ways for CoS professionals to glean crucial information, emphasizing the importance of our multifaceted roles in the meeting ecosystem.

The dialogue delved into what makes a meeting truly successful. Attendees shared their perspectives on the key indicators:

  • A well-defined agenda with predetermined outcomes and a clear purpose.
  • Active participation and constructive dialogue among the majority of participants.
  • Constructive disagreement leads to meaningful discussion and resolution.
  • Strategic inclusion of necessary stakeholders and efficient use of participants' time.
  • Enhanced engagement through preparation and fostering a culture of open communication.
  • Effective time management with designated time estimates and a structured discussion format.
  • Establishment of ground rules and proactive intervention to steer discussions constructively.
  • Clear action items and objectives outlined post-meeting for all attendees.

Avoiding the Pitfalls of Ineffective Meetings:

Equally important is recognizing what can contribute to a bad meeting. Attendees shared insights on the factors that lead to unproductive gatherings, including:

  • Lack of context and a clear path for action or next steps.
  • Overcrowded meetings with unnecessary participants.
  • Unprepared participants.
  • Failure to acknowledge proxy authority.
  • Not ensuring that all voices are heard and participants are engaged.
