Secret #1: Eisenhower’s Time Management Framework

This framework completely changed the way I thought about Time Management.


  • Step 1: Identify Urgent vs. Important tasks. List all your tasks and decide which are urgent (need immediate attention) and which are important (contribute to long-term goals).
  • Step 2: Prioritize your tasks. Use the Eisenhower Box to decide on and prioritize tasks by urgency and importance. Eliminate tasks that you should not be doing, such as those that are “not urgent” and “not important”.
  • Step 3: Schedule tasks effectively. Block time on your calendar for urgent and important work and set specific times for the “not urgent—important” work, such as checking emails or other lower-priority tasks.

Tracking your time in blocks while you work will help you focus on one task at a time. Keep reading for a simple way to do this.


Secret #2: Pomodoro’s Time Management Framework

Hang this up in your room somewhere—and stare at it every day.


  • Tip 1: Work with the time you have—not against it. Break your workday into 25-minute chunks separated by five-minute breaks. These intervals are referred to as “Pomodoros”.
  • Tip 2: After four Pomodoros, take a more extended break. Go for 15-30 minutes, which helps your brain stay focused and keeps you refreshed.
  • Tip 3: Keep a record of your work. Use this technique to track what you accomplish throughout the day and adjust your working habits as necessary.

This is the Simplest of the Simple Time Management tool.

  • Strategy 2: Break down bigger tasks into manageable sub-tasks. This can make the work seem less daunting and keep you on track.
  • Strategy 3: Use colors and symbols to indicate priority and status. This helps you quickly determine tasks' status and priority.

Secret #4: Getting Things Done (GTD)’s Time Management Framework

Struggling with overwhelm and lack of prioritization?

  • Step 1: Capture everything on your mind. Write them down as a long list. Think of this as a brain dump. If you like, keep a running list as things come to you.
  • Step 2: Clarify the actions required. What is it going to take to complete each item? Decide what actions are needed and when you will do them.
  • Step 3: Organize actions by priority and context. Sort tasks into categories based on when and where they can be completed.

Finally, this is how you achieve a streamlined workflow and enhanced productivity:

  • Tip 1: Visualize your work. Create a board (physical or digital) and divide it into columns that represent different stages of tasks, like “To Do”, “In Progress” and “Done”.
  • Tip 2: Limit Work in Progress (WIP). You place cards in each column, each representing a task. Limiting the number of cards in the "In Progress" column ensures that you focus on a few tasks at a time.
  • Tip 3: Manage flow. You move the cards from one column to the next as you start working on them and then as you finish them. This helps you clearly see the progress of your tasks and identify any bottlenecks.
