Managing Vendor Documentation the IDEA Way

Managing Vendor Documentation the IDEA Way

At IDEA, we recognise the importance of reviewing and managing vendor documentation from order placement through to project close-out and handover. The new plant design or the integration of equipment into an existing process plant design doesn’t just require design documents, it also needs to include all the vendor documentation ensuring clarity and streamlined incorporation into project deliverables.

  • Vendor Engagement:

Effective vendor engagement at the correct stages of a project is key to ensuring the right information is fed into the overall design of a process plant. At the early stages of a project this could be high level process information, technology options, footprints, weights or electrical loads, whatever is key to driving the initial design development. As projects progress detailed design of equipment, valves, instrumentation and control systems is fed into the design via supplier documentation.

  • The Devil is in the Detail:

Our commitment to project delivery extends beyond the concept, feasibility and FEED phases to encompass the key details associated with vendor equipment. Integration of vendor documents into project deliverables is critical to ensuring the design is complete and all interfaces are correctly identified and managed. At IDEA, one of our key service offerings includes detailed reviews and management of vendor documentation, merging critical information into our project deliverables whilst removing this time-consuming task from client engineers.

Carrying out these reviews enables us to ensure all equipment complies with legislative requirements, relevant technical standards and client requirements. We also ensure that all key interdisciplinary interfaces are managed identifying potential discrepancies and mismatches. This includes piping, structural, civil, electrical, control and instrumentation connections limiting the chance of clashes and integration issues during construction and commissioning.

  • Comprehensive Document Management:

IDEA employs a document management system that enables us to effectively organise, store, and control vendor documents. This comprehensive approach ensures that every piece of information, from equipment design to certification, is available as required throughout the project lifecycle. In the dynamic landscape of project development, revisions are par for the course. IDEA’s approach to revision control is systematic and meticulous. We employ robust procedures that track changes, updates, and modifications to vendor and project documentation, ensuring that our team is always working with the latest and most accurate information.

  • Certification, Testing, and Quality Assurance:

IDEA places a premium on the importance of certification, testing, and quality assurance and the documentation that records the results ensuring documented evidence of a quality equipment design and manufacture and safe process installation. We review and approve testing procedures, confirming they are demonstrating the required performance and specification requirements for the equipment and can witness factory acceptance tests as an additional assurance measure. We also ensure that our clients have all the required documentation to hand when requested by regulatory authorities and insurers.

Our approach to managing all aspects of vendor equipment design and documentation is grounded in precision, diligence, and collaboration. Our commitment to excellence ensures that the integration of vendor documents into project deliverables is not just a step in the process; it’s a strategic move toward ensuring the success, efficiency, and reliability of the entire project. Partnering with IDEA means entrusting your project to a team that manages every detail, from vendor documents to final deliverables, with dedication to excellence.
