Managing Vacation Anxiety while Empowering Your Team

Summer is an interesting time for many of us. With people going on vacation, it’s a mixed bag of activity levels.

For some, it will be busier than usual, covering for those who are away. For others, it will bring a bit of quietness, with fewer meetings or projects running.

You might even find yourself stressed out just thinking about taking time off, wondering if you’ll be able to fully disconnect. This “vacation anxiety” - especially for managers - can be overwhelming:

  • Worried about missing out
  • Glued to their phone
  • Overwhelmed by the unread email count

But worry you not, here's why taking a vacation is actually the perfect opportunity for effective delegation:

  1. See where you will be really missed: Where does your absence make the biggest impact? This can highlight areas where your team needs more support.
  2. Allow your team to step up and prove their skills: Give your team the chance to show what they can do and grow in their roles.
  3. Identify the hidden leaders in your team: Who is stepping up to take initiative and handle responsibilities well? These could be your future leaders.
  4. Enhance your team’s problem-solving abilities: Without you there to solve every problem, your team will need to find solutions on their own and collaborate more.
  5. Build a culture of trust and independence: By delegating tasks and showing trust in your team, you encourage an environment where independence is valued.

True leadership isn’t about always being present. It’s about empowering your team to thrive even when you’re not there.


Here’s how to ensure your vacation goes smoothly

Planning Your Vacation

Test the Delegation: Before your vacation, see if your delegation plan works. Assign some of your tasks to your team and observe if they can handle them without your intervention. This will help you identify any gaps and make necessary adjustments.

Announce Your Plans: Let your team know your vacation schedule at least a week in advance. Schedule a meeting to discuss your absence, ensure they understand their roles and address any concerns they might have, so everyone has time to prepare and address any potential issues before you leave.

Prepare Thoroughly: Ensure all tasks are delegated and everyone knows their responsibilities. Create a detailed handover document that outlines key tasks, deadlines, and points of contact. Clear documentation helps avoid confusion and keeps everyone on the same page.


When You Return

Review What Worked and What Didn’t: What went smoothly, and what needs improvement?

Urgent Decisions: How were any urgent decisions handled? Were they managed well, and what were the consequences?

Non-Urgent Decisions: How were decisions where you were to be consulted managed? Were they handled correctly, and what follow-up actions are needed?

By planning effectively and empowering your team, you can take a vacation without anxiety. The goal is to create a self-sufficient team that can handle things in your absence, allowing you to truly relax and recharge.
