Manage Sequence in SAP SuccessFactors: Chapter 25

Manage Sequence is a feature in SAP SuccessFactors Employee Central that allows administrators to control the order in which records are processed or displayed. This is particularly useful in scenarios where the sequence of actions or data entries matters, such as in workflows, event derivations, or the processing of business rules.

Key Concepts:

  • Sequences help to determine the priority or order of records or actions in Employee Central.
  • Configuration is typically required when you have multiple records or actions that need to be processed in a specific order, like during event reason derivation or business rule execution.

Use Cases:

  • Event Derivation: Define the sequence in which event reasons are triggered.
  • Workflow Approvals: Manage the order of approval steps.
  • Data Processing: Ensure data is processed in the correct order, such as when importing records.

Steps to Configure Manage Sequence:

1. Accessing Manage Sequence:

  • Navigate to Admin Center in SuccessFactors.
  • Search for "Manage Sequence" in the search bar.
  • Select the Manage Sequence option from the list.

2. Creating a New Sequence:

  • Click on the Create New button.
  • Enter a Name for the sequence, which will help you identify its purpose.
  • Optionally, provide a Description for more context.
  • Select the Type of sequence, which could be for workflows, event reasons, or any other applicable object.

3. Configuring the Sequence:

Add Items to the Sequence:

  • Click on Add to include new items in the sequence.
  • For each item, specify the Name and Order in which they should appear or be processed.

Defining the Order:

  • The Order field determines the priority, with lower numbers processed first.
  • You can adjust the order by modifying the numbers or using drag-and-drop functionality (if supported).

4. Assigning Sequences to Objects:

  • Assign the Sequence to the relevant object or process:
  • For example, if you are creating a sequence for event reasons, you would associate the sequence with the specific event reasons in the Manage Business Configuration or Event Derivation Rules section.
  • Ensure the objects or processes are configured to respect the sequence.

5. Testing the Sequence:

  • After configuration, it's crucial to test the sequence in a Sandbox Environment or with Sample Data.
  • Verify that the sequence is processed in the correct order during the applicable scenarios.

6. Deploying the Sequence:

  • Once tested, you can deploy the sequence to the Production Environment.
  • Continuously monitor the sequence to ensure it functions as expected.

7. Managing and Updating Sequences:

  • Over time, you might need to update the sequence based on changes in business processes.
  • Access Manage Sequence to modify or reorder items as needed.
  • Re-test the sequence after any changes to ensure continued accuracy.

Best Practices:

  • Documentation: Always document the purpose and configuration details of each sequence.
  • Testing: Thoroughly test sequences before deployment to avoid unexpected issues.
  • Version Control: If possible, keep track of different versions of your sequences to revert if needed.

Troubleshooting:

  • Sequence Not Working as Expected: Check the order configuration and ensure no conflicting rules or processes are overriding the sequence.
  • Performance Issues: In complex scenarios with many sequences, performance might be impacted. Consider optimizing the sequence or splitting it into smaller sequences.

Managing sequences in SAP SuccessFactors Employee Central is essential for ensuring that data and processes are handled in the correct order. Proper configuration, testing, and monitoring are key to making sure your sequences work effectively in your HR processes.
