Make your next move smooth and seamless
Few of us relish an office move, but the secret is to manage it as smoothly as possible. This is especially important when it comes to your IT, internet and telecoms. They are the lifeblood of your business – in fact, without them you won’t be able to operate and the last thing you need is downtime. The following guide outlines how you can plan and implement a seamless migration of your internet and telecoms infrastructure as part of your relocation project.
As soon as you decide to move
Get in contact with the HPN team. Let us know your timescales, dates and deadlines. We can then help you to manage the rapid transition of your broadband and telephony. In fact, by involving us from the outset, we can conduct a site survey to check out your new location; assess its current status and suitability in terms of your needs, then help you plan any enhancements or upgrades that will improve your overall operational efficiency at your new site.
Create a timetable
The lead-times for communication services such as fibre leased lines can be several months, so it is vital to plan. This also gives us time to review the various options that are available and achieve potential cost savings.
Relocating your current phone numbers
If you are moving several miles away and still have BT lines, then it is highly likely that you will not be able to keep your current phone number. But don’t panic. All this means us that it’s time to port your service over to a Voice over IP (VoIP) service and that way you can keep your phone numbers. This may mean upgrading to one of the following systems:???????????
·????Cloud based/hosted phone system – ideal for companies that require flexibility of increasing or decreasing the number of handsets as and when required.
·????Onsite phone system – suitable for companies that prefer to continue to use BT ISDN phone lines.
·????Hybrid phone system (cloud and onsite) – hybrid systems will have a presence in the cloud and an onsite system which replicate each other.

Disaster recovery & business continuity
The potential risks to your company when operations come to a halt due to IT disasters can be devastating.?The worst may never happen, but it is crucial that your moving plan makes provision for disaster recovery. Relocating servers is a complex process, so ensure you create a resilient continuity plan to protect your valuable information and data.
Be prepared
There is no point trying to ‘wing it’ on the day. Be aware of the scale of your office move and prepare the property days in advance, remembering to make sure that:
·????There are sufficient plugs and they are where you need them
·????All cabling has been safely installed and ducted, and that it conforms to your new seating plan
·????You know where you are going to position all your equipment, including printers and scanners
