Make a Habit to "Inspect whatever you Instruct"
There are various activities people do in their job. They are responsible for their performance. Also it is important to understand that every person is paid salary not only to work but to work error-less. Accountant job is to properly maintain the Books of Account and timely completing all the Accounting Formalities related to Company, for smooth functioning. There are lot of activities which comes under the responsibilities of the Accountant as below:
- Prepares asset, liability, and capital account entries by compiling and analysing account information.
- Documents financial transactions by entering account information.
- Recommends financial actions by analyzing accounting options.
- Summarizes current financial status by collecting information; preparing balance sheet, profit and loss statement, and other reports.
- Substantiates financial transactions by auditing documents.
- Maintains accounting controls by preparing and recommending policies and procedures.
- Guides accounting clerical staff by coordinating activities and answering questions.
- Reconciles financial discrepancies by collecting and analyzing account information.
- Secures financial information by completing data base backups.
- Maintains financial security by following internal controls.
- Prepares payments by verifying documentation, and requesting disbursements.
- Answers accounting procedure questions by researching and interpreting accounting policy and regulations.
- Complies with government, state, and local financial legal requirements by studying existing and new legislation, enforcing adherence to requirements, and advising management on needed actions.
- Prepares special financial reports by collecting, analyzing, and summarizing account information and trends.
- Maintains customer confidence and protects operations by keeping financial information confidential.
- Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
- Accomplishes the result by performing the duty.
- Contributes to team effort by accomplishing related results as needed
Now, they are not only expected to do these activity but to do it error-less. They need to display the sense of ownership towards their work.
Here I have taken the example of Accountant, but this stands for each and every profile and employees of the company. Whether he/she is into any Department like Administration, HR, Accounts, Logistic, Peon, Sales & Marketing, IT, or Software Development, they are expected to do their work error-less. Every Employee has to understand that they are paid the Salary for error-less Transaction and not for just attending the Transaction. Every employee need to have the sense of Accountability for their Roles and Responsibilities. Again this is the responsibility of Hiring Manager and HR to address this during the Induction Process. In majority of the cases, Employees are not given clarity on their Roles and Responsibilities, neither they are taken through Structured Induction Process in which clarity is given to every new Employee Joinee, on their Roles & Responsibilities, do’s and don’ts, employee guidelines, Organisational Tree, and various Organisational Policies and Processes. This gives the new Joinee clear cut clarity on the expectations from and with the company. Also from the day one they are clear about their roles and responsibilities and this help them to plan their work effectively. If I have to define one statement responsible for Employee Satisfaction and in turn Low Attrition, then that is “Structured Induction process plays a very important role in any Organisation.”
Once Roles and Responsibilities are explained clearly and clarifications done on the expectations, then it is very important by the Management to Inspect whether understanding about the Roles and Responsibilities is accurate or not. From time to time bases, Management need to Inspect whatever Instruction they give to employees. This keeps employees on track and you do not get any unpleasant surprise later on.
