Make Every Meeting Count

Make Every Meeting Count

When I first started running faculty and team meetings, I was bursting with enthusiasm—but my lack of preparation sometimes led to confusion rather than clarity. It didn’t take long to realize that truly effective meetings demand thoughtful planning.

Core Principles:

Set a Clear Purpose and Goals

  • Know why you’re meeting: Is it for brainstorming, decision-making, or problem-solving? When you communicate this in advance, everyone arrives prepared.
  • Aim for 1–3 specific objectives, like “Finalize the literacy program schedule.”

Prepare an Agenda and Share It in Advance

  • Create a focused agenda with time allocations for each topic.
  • Distribute relevant documents or data ahead of time to ensure better discussions and faster solutions.

Foster Engagement and Collaboration

  • Assign roles like timekeeper or note-taker so everyone feels involved.
  • Encourage brainstorming, small-group discussions, or round-robin sharing to hear every voice.

Meetings can become purposeful conversations with the right groundwork. Clarity, structure, and collaboration are the keys to maximizing both time and outcomes.

Identify one upcoming meeting and apply these three fundamentals. Let me know how it goes—sharing successes and questions helps us all learn together!
