Live Events: A day in the life of LemonZest
No two days are the same at LemonZest. The team can be out viewing the latest venues, coordinating proposals, liaising with third parties on support services or scheduling transport for a production and event build. There is a group of dedicated professionals in our team who play a major role in our customer events. We work to take away the uncertainty and stress from customers to free them up and focus on where they can add value.
This is a glimpse into the daily life of a LZ event professional, leading a live event for a long-standing customer. It has been a pleasure to consult on this conference, which involved searching for the perfect new venue, planning a shift in the concept and theme, and adding extra oomph to the audience interaction.
In short, an event professional looks after behind-the-scenes efforts and handles the intricate details of bringing events to life. We wear many hats in consulting and delivering events which is always fun. Event professionals play a crucial role to ensure the success of an event and maintaining a positive experience for customers and attendees. We manage the concept and delivery, manage the deadlines, work within budget constraints, attend to unforeseen snags and manage expectations.
24 hours until the Conference
Always plenty to prep the evening before. After a check-in call with our customer, we are on-site confirming the logistics and set-up with the venue Ops Manager. We are all working to the same plan.
At 6am we are back on-site at the venue to work with the conference venue for a review of the schedule whilst the room comes together. We are overseeing the setup and decorations for the event, ensuring that everything is arranged according to the customers specifications and design preferences. Tables, lighting, staging and a sound check all complete.
Event day can be chaotic, managing multiple activities at once, so LemonZest are the multi-taskers that glide along swan-like, not showing the fast peddling underneath. We are busy coordinating with venue staff to bring it all together before our customer arrives on site.
We meet our customer at 8.00am and put them at ease. It’s a great time to check the conference agenda once more. There are a couple of last minute changes, but that is what we do. We address any issues that arise in real-time and co-ordinate the plan for a seamless event.
This customer used our technical support team for the multimedia elements. We are having a final run through of the presentations, lighting sequences and music and there is a real buzz about the room.
At 9.30am guests arrive and the LZ Team are handling the peak of activity, supporting the checking in of guests, distributing name badges and the event goody bags. We are providing directions and assistance as needed, so the host is free to network.
The stage and production we have set up looks stunning and the creative media we have produced is well received by the guests. It has impact and is engaging with the crowd!
Right before lunch, the schedule has overrun. That’s ok, we are prepped for this. We adjust timings with the venue team to bring the event back on track and ensure lunch fits with the revisions.
Post lunch, there is no ‘graveyard shift’ as LZ have provided the after lunch energiser. It’s got the audience on their feet and involves each table participating with a musical instrument to come together as a team. It’s a winner of an idea (the music-making was not too bad either!).
Our technical team are addressing a few changes as the keynote speaker requires a different mic to the original plan. We are well versed to think on our feet and keep everyone happy. Another presenter wants to make changes to the presentation content which our team handle for them. This freed up the host to be involved in the event and put the presenters at ease.
Not only did our team keep the event on track and ensure that all planned activities were executed seamlessly, but we have also had fantastic feedback and a very happy customer.
It’s not over for the team just yet though as we have breakdown of the equipment and a debrief with the venue and our customer.
That’s just a snapshot of what we do and the constant juggling of activities and we couldn’t love what we do anymore!
