Lessons Learned: Rebuilding Communication Bridges

By Cassie Smith

The importance of clear and respectful communication in the workplace cannot be overstated. Recently, I participated in one of the annual compliance trainings that explored the five key elements of respectful communication: 1. Consideration, 2. Empathy, 3. Reflection, 4. Trust, and 5. Perspective. This training proved particularly timely, as an email I sent caused some miscommunication, and I was rightly addressed about it.

The training highlighted the importance of Consideration. I realized that in my haste, I had failed to consider the recipient's perspective and the potential impact of my email's tone. Using clearer and more neutral language, perhaps even a more formal tone depending on the situation, could have prevented miscommunication. Additionally, choosing a more appropriate communication method, such as a face-to-face meeting for complex topics, could have fostered a better understanding.

Empathy was another key element I recognized as lacking in my communication. Focusing on the content rather than attempting to understand the recipient's potential emotional response resulted in a defensive and unproductive exchange. Active listening, employing open-ended questions, and acknowledging their point of view could have fostered a more collaborative approach to resolving this particular issue.

Reflection is a crucial element I overlooked. Taking the time to pause, re-read my email, and consider the potential interpretations could have prevented the miscommunication. This practice would allow me to ensure the message aligns with my intent and promotes a positive outcome.

Trust is a cornerstone of effective communication. My email's tone could be interpreted as accusatory, eroding trust with the recipient. By focusing on solution-oriented communication and owning my role in the misunderstanding, rebuilding trust would be possible.

Finally, the training emphasized the importance of Perspective. Understanding that the recipient might have been experiencing stress or facing their own challenges could have encouraged a more understanding and empathetic approach.

This training served as a valuable learning experience. By actively implementing the principles of Consideration, Empathy, Reflection, Trust, and Perspective, I am confident in my ability to communicate more effectively and build stronger relationships with colleagues.

Furthermore, I am committed to using these skills to rebuild trust with the recipient of my previous email, fostering a more positive and collaborative work environment for everyone.
