The ROI of Delivering an Effective Team Off-Site Meeting:

In speaking with many executive clients over the past year, a common refrain has been, "How do I inspire and reinvigorate my Team?" I tell them that now is the time to harness the benefits of facilitating an effective Team Off-Site meeting. Leading a well-structured Team Off-Site provides your Team with a much-needed break from the daily routine and a forum to generate new ideas to inspire them to reach their personal and Team goals. When delivered effectively, Team Off-Site meetings offer a high return on investment by enhancing collaboration, boosting morale, and improving Team productivity.?

According to a study by the Harvard Business Review, companies that invest in Off-Site Meetings see an average ROI of 4:1 in terms of increased productivity and employee engagement. These meetings lead to improved communication, stronger relationships among team members, and a better understanding of company goals and objectives.

In addition, Team Off-Site meetings help foster innovation and creativity and increase job satisfaction and retention rates.

The Most Common Mistakes When Planning & Facilitating Team Off-Site Meetings:

  • Uninspiring Agenda That Leads to Attendees Feeling Like Prisoners -?Poor meetings result primarily from poorly developed agendas and the need for clear objectives. Participants need to feel inspired from the moment they read the agenda, or you risk losing your audience before you even begin the meeting.?
  • Cramming Too Much Into the Agenda -?One of the most common mistakes when planning an Off-Site meeting is trying to cover too many agenda items— a jam-packed schedule results in scattered focus and an inability to achieve your meeting objectives fully.
  • Same Old Speakers -?Another fast way to lose your audience is to overuse your traditional speakers and not provide enough opportunities for other "fresh faces" on the Team to speak.
  • Creating a Laundry List of Action Items in the Session -?Avoid the age-old desire to bring out flip charts and close the meeting with general brainstorming, creating a long list of action items. Instead, use brainstorming focused only on the specific Off-Site objectives, generating fewer "high impact" post-meeting actions that are realistic and motivating for the Team to implement.

Keys to Successfully Facilitating an Inspiring Team Off-Site Meeting Experience:?

1. Communicate How this Off-Site will be different, Providing Both Inspiration and Time to Re-energize -?Clearly outline the purpose of the Off-Site meeting, how you plan to engage the Team differently, what you hope to accomplish, and how it aligns with the overall vision and mission of the Team. Make sure to involve diverse team members in developing the agenda to ensure it is well-rounded, impactful, and fun. It is essential to communicate to the participants before the session, providing a clear vision of what you hope to achieve, including participant expectations.

2. Open the meeting with an Enthusiastic Guest Speaker Whose Talk Compliments Your Overall Meeting Objectives -?A knowledgeable and charismatic guest speaker opening your meeting sets the tone and puts the attendees in an inspired and energetic mindset for the meeting. An effective guest speaker brings passion and energy to their presentation, a focus on your overall Off-Site objectives, and captivates the audience with contagious enthusiasm, incenting them to engage fully.?

"The way a team plays as a whole determines its success. You may have the greatest bunch of individual stars in the world, but if they don't play together, the club won't be worth a dime."??– Babe Ruth

3. Select an Off-Site Location That Delivers Both the Practical Meeting Requirements and a Relaxing Ambiance -?Choose a venue that has a flexible design, providing multiple meeting spaces for your larger group sessions and the numerous spaces required for smaller breakout sessions. Remember, the overall ambiance and services the venue offers leave a lasting impression on your Team and will significantly impact their engagement and enjoyment of the overall experience. The duration of your meeting is also critical; your organization's budget and objectives will ultimately drive the Off-Site duration; however, as a guide, corporate meeting planners suggest an optimal Off-Site is 1.5 to 2 days long. Your mantra for a great Off-Site agenda should always be "quality over quantity" and one that "leaves the Team wanting more" from future Off-Site meetings.

4. Plan Team Building Activities that are Actually Engaging and Fun -?Plan Team building activities that foster camaraderie and trust among team members. These activities range from icebreakers to more in-depth team challenges that encourage collaboration and communication. Some of the latest Team building activities include virtual escape games, team trivia, and (weather and location-permitting) outside activities, such as team scavenger hunts. The recipe for success for any Team-building activity is to keep it fun and light, allowing team members to work together on a common goal that also brings laughter and enjoyment.?

5. Close the Meeting with a Clear Link to Your Opening Objectives -?End the meeting with a positive and motivational message that links back to your opening objectives and the inspiring keynote speaker's message. Thank everyone for their participation and contribution, and summarize the session's key outcomes. Outline the follow-up plans and assignments and how you and other leadership team members will provide support to ensure the critical ideas generated in the sessions get implemented effectively. Lastly, send out a post-meeting online survey asking for input on improving the next session, demonstrating the goal of continuous improvement and the intent to deliver ongoing inspiring Off-Site sessions.

Summary:

Remember, the most critical objective when facilitating a Team Off-Site meeting is to give your Team a break from the usual routine and an opportunity to celebrate successes while providing a chance to focus on a few critical performance improvement objectives and some Team relationship-building. Lead your next Team meeting using this framework to strategize, re-energize, inspire, and build stronger collaboration to help you reach your shared goals.
