Hey folks,?At some point in our meetings, we all have asked,"What am I doing here?"There can be a few different reasons. Your team members might very likely say:

Research also suggests the similar. An HBR (2022) study indicates that 92% of workers find meetings expensive and unproductive.

While your team may feel like this, they would not say it to your face. You can use methods like theseto uncover their feelings:?

  • Create and run a fully anonymous survey
  • Use short “pulse surveys” to track changes in meetings
  • Go and open your “suggestion boxes”
  • Observe their behavior
  • Try to build trust with active listening and open conversations

A simple way to have meetings that matter

We have been doing these meetings for 2 years now, and I think we might have the solution to conduct focused and impactful meetings.We call it “check-ins” at JOP. Learn more about OKRs and check-ins here

Step 1: Identify and implement the learnings Diagnose the problem first! Be the listening ear and identify the improvement areas. Use the survey questions linked above to get started.

Step 2: Have your goals ready on the screen Have your agenda and goals (OKRs) visible beforehand on a central screen. This sets expectations and minimizes confusion.

Step 3: Invite the right crew members Invite people who directly contribute to achieving the team's goals. This keeps discussions focused and avoids information overload. It saves their time, too.

Step 4: Have open communication and support the team Encourage active participation from everyone. Let the goal owners discuss their progress on goals. Offer constructive feedback and support to help them overcome hurdles.

Step 5: A person to keep meetings on track Appoint and empower a volunteer (we call them "OKR Champion") to keep the meeting on schedule. They can gently nudge discussions back on track.

Step 6: Delegate action items directly feeding goals Assign clear, actionable steps directly linked to the goals. Use a dedicated tool or a shared document to keep everyone accountable and follow up later.

Bonus Tip: Run a pilot program of OKR check-ins with one of your teams. You will need assistance in implementing OKRs and the change management.

Alternative to OKRs If you don’t want to use OKRs, you can create SMART goals separately for team members and align them with each other and the top-level business goals. There is no framework for the above, but it will help you have focused meetings.
