KYP - Know Your Processes: The first step to making your business more efficient

A process is a group of activities that take one or more input elements and transform them into final outputs that have value for the customer. Ok, and what?

The gold lies not in knowing the definition, but in knowing how this element affects you and your business in real life. ??

You need to make one important realization:

Everything in your business is either a process or a project

In projects, we are managing the unknown (risk) and in processes, we manage the known (repeatability).

Let’s focus on processes for now.

?? Client onboarding – a process.

?? Gathering potential client feedback – a process.

?? Keeping your inbox clean (or messy) – a process.

?? Organizing a team meeting – a process.

?? Issuing an invoice – a process.


What does that mean for you?

That you can improve every single element in your business!

You can identify and fix broken or inefficient processes. You can replace old ways with new, more effective ones. Finally, you can design clear instructions for others to follow so they will do their job in alignment with your vision.


Isn’t that exciting?

Isn’t that something we all want?

To have a business that runs smoothly so we, as entrepreneurs, can sail with our sturdy and beautiful ship instead of trying to patch holes in a leaky hulk. ??


Improving processes in your business will lead to:

?? Better organization - reduce the time you spend explaining and correcting the work someone delivers to you.

?? More clarity - make your operations more structured and clear for you and your team.

?? More time - more efficient processes mean the company is running smoothly.

?? More money - bad processes create something called PQC (Poor Quality Costs), which is an expense of inefficient work.


To take the first step, you need to identify and map processes in your company.

?? Do just this – identify and map. Don’t try to fix them straight away! Just observe and ask yourself:

? Which processes are taking longer than they should?

? Which processes are unnecessary?

? Which processes do I not like personally?

? Which processes do I really enjoy?

? Which processes are causing money leaks?


Write it down on a piece of paper, leave it for a week, and in the meantime, observe your processes. Then look at your answers again.

Do you see that?

Your perception has changed completely! Now you can see everything much clearer.

And that’s the moment for the second step – plan and prioritize improvements. ??

For now, stay reasonable – observe, learn, and don’t change anything.

Write down your observations about your processes, your comments, and your thoughts, because that’s the best step to make your business run more efficiently. ??
