What is Project Management? Overview, Importance, and Key Concepts

Project management is the discipline that keeps projects on track from inception to completion. It combines the science of planning, budgeting, and scheduling with the art of managing people, resources, and expectations.

Over the years, I have come to understand that project management is more than just a series of steps and processes. It is a way of thinking that connects and aligns teams toward organisation common and strategic goals and creates business value by delivering successful outcomes, within scope, time, cost and quality.

One of the primary challenges I have encountered is the initial confusion about what project management truly means. In my early days as a career Project Manager (PM), I found that both team members and stakeholders often had different expectations of what PM actually does.

Some assumed the role was merely about following timelines, while others expected complete ownership of every decision. I was sometimes even referred to as the master co-ordinator who knows only how to check off the task boxes. This lack of clarity often led to misaligned project objectives, unexpected delays, and ultimately team frustration.

One of the way to resolve this challenge is to define the role of a PM early and clearly. The project charter is useful for this conversation with the team.

During project kick-off meetings, I explain not only the steps we will be taking but also my role in facilitating communication, resolving conflicts, and ensuring that the team stays focused on the project's objectives. This simple yet crucial step goes a long way toward preventing misunderstandings and setting the right expectations.

Another challenge I faced was managing projects without using the right tools. In the early days, I relied on spreadsheets heavily, which can work for small projects, but I quickly realised that this tool can be overwhelming as the project size increases.

This led to a few instances where I could not keep up with the status of various tasks, causing some to slip through the cracks. I have dropped a few balls during my time as a junior PM and it is not a good feeling.

Today, I leverage specialized project management software like Microsoft Project or Asana to provide better visibility into task assignments, dependencies, and progress.

Building a rapport with the team is another critical aspect that I have found often gets overlooked in the hustle of initiating a project. You can have the best tools and methods in the world or the organisation can provide, but if your team is not motivated or aligned, the project will struggle at some point.

One technique that has worked well for me is to invest time early on in understanding each team member’s strengths, weaknesses, and personal goals. By aligning project tasks with individual strengths, I have been able to create a more engaged and productive team. I also set clear push and pull communication guidelines and check in regularly with the team to ensure that team members feel sufficiently supported.

In all the projects that I had handled, challenges always arise. As a PM, having a proactive mindset and focusing on continuous improvement can and will help mitigate these issues. To me, being flexible and responsive to the team’s needs is just as important as adhering to project timelines and budgets.

Another key trait of a PM is to focus on anticipating potential challenges before they arise and take proactive steps to manage and address them before they impact the project. This kind of approach places emphasis on prevention rather than reaction and ensure risks are identified early on and mitigated.

In summary, project management is all about balancing planning and adaptability. Clear communication channels, using the right tools, and building team relationships are all key to a project’s success, ultimately bringing clear business value to an organization.
