HR Professionals, we know how challenging it can be to keep up with interview scheduling, communication with candidates, panelists, and HR teams, all while ensuring that nothing falls through the cracks.

Imagine being able to automate the interview scheduling process, send timely emails to all stakeholders, and focus your energy on more strategic tasks. Sounds great, right? Well, I’ve created a simple yet effective Excel VBA (Visual Basic for Applications) macro tool to help you do just that.

Why Is This Tool Important?

In today’s fast-paced world, automation can drastically improve efficiency and productivity. Here's how this small tool can make a significant impact:

  • Automated Interview Scheduling: This tool allows you to schedule interviews quickly without the need to manually send individual emails.
  • Email Customization: It sends personalized emails to candidates, panelists, and HR teams, complete with the interview date, time, and meeting link.
  • Teams Link Generation: If the Teams meeting link is missing, the tool automatically creates one for you.
  • Draft or Send: It even lets you decide whether you want to save the email as a draft to review or send it immediately. You can rest easy knowing everything is in your control.

This is not just about cutting down time; it’s about making your workflow more efficient and reducing the risk of human error in sending out interview communications.

Key Features of the Tool:

  1. Dynamic Data Handling: The tool adapts to the structure of your Excel sheet. No need to worry about column positions, as the tool dynamically identifies and uses the correct columns based on header names.
  2. Email Automation: Automatically drafts emails to the candidate, panelists, and HR, based on the details from your Excel file.
  3. Teams Link Management: If the Teams link is missing, it generates a link automatically, saving you the hassle of manually creating one.
  4. Email Review and Sending: You have the option to review emails before sending. If you’re satisfied with the drafts, you can send them right away, or save them in your drafts for review.

How Can You Use This Tool?

Here’s how you can quickly start using the tool in your own organization:

  1. Download the Excel File:Download the file from the provided link and open it in Excel (make sure you enable macros).
  2. Fill In the Interview Data:Populate the Excel sheet with your interview details. Use the columns as follows: Candidate Name: The name of the candidate.Candidate Email: The email address of the candidate. Panelists: The email addresses of panelists. HR Email: The email of the HR person. Interview Date and Time: The scheduled date and time for the interview. Teams Link: If you don’t have the link, leave this empty and the tool will generate it.
  3. Run the VBA Code:Open the Excel file, press Alt + F11 to open the VBA editor, and paste the provided macro code.Once the macro is added, press Alt + F8, select ScheduleInterviewEmails, and run it.
  4. Review and Send Emails:The tool will draft the emails, showing you the message before sending it. You’ll be asked whether you want to save the emails in Drafts or send them directly.Note: Please review the emails before sending to ensure everything looks good.

How to Use It in Google Drive:

While this tool is designed for Excel, you can use it in Google Drive by downloading the file and enabling macros in Excel format. Here's what you need to do:

  1. Download the Excel file with macros from Google Drive.
  2. Open the file in Excel and enable macros by choosing "Enable Content" when prompted.
  3. Follow the steps above to fill in data, run the macro, and send emails.

Important: This tool works only in Excel, as Google Sheets does not support VBA macros. So, be sure to download and run the file in Excel.

Download at Your Own Risk:

This tool is a work-in-progress, and while it should work as intended, I highly recommend you use it cautiously and at your own risk. Test it on dummy data first before applying it in real-world scenarios. The goal is to save you time and effort, but use it wisely and ensure your data is secure.
