We had the privilege of attending Epic UGM, August 21-23, where Epic's unwavering focus on the future became evident. This event served as a vibrant nexus of innovation and collaboration, showcasing the company's dedication to shaping the healthcare landscape through cutting-edge technology and forward-thinking solutions.

Generative AI, the technology that has captivated the world, will find its deployment within Epic in various impactful domains:

  1. In-Baskets: Generative AI will produce initial drafts of responses to in-basket items for clinicians. Instead of crafting responses from scratch, clinicians can easily modify the AI-generated content. Early feedback has been positive, with some patients noting that the AI-generated responses exhibit greater empathy compared to previous communications.
  2. Ambient Clinical Notes: This functionality will be powered by Microsoft/Nuance's DAX solution.
  3. Medical Bill Explanations: Epic's Hello World platform will introduce an AI-powered chatbot in the future to assist patients in comprehending complex medical bills.
  4. Note Summaries: Both clinicians and researchers will benefit from AI-generated summaries of notes.
  5. Coding and Billing: AI will provide coders with suggestions based on information extracted from the medical record.
  6. Rare Disease Research: Embedded AI within Epic will eventually expedite the identification of patients with similar symptoms and characteristics, thereby accelerating research on rare diseases.

Chart Abstraction Project

Scope: The Epic Chart Abstraction team consisted of 10 resources moving 3,000+ Epic ambulatory visit notes from Care Everywhere to the new online platform.

Accomplishments: The project plan called for the completion of all abstractions within 3 weeks.

  • Team of 10 fully recruited and onboarded within 1 week.
  • Each resource averaged 225-275 charts per day.
  • Project completed 5 business days early and 26% under budget.

Lessons Learned: Prioritize the data accuracy and quality. Incomplete or inaccurate data can lead to errors and affect patient care.?

  • Assemble a skilled and diverse team with expertise in Epic and the specific chart abstraction tasks that the project calls for.
  • Be sure to maintain detailed documentation.
  • Be vigilant about scope creep and changes to project requirements. Maintain a clear scope to prevent delays and budget overruns.?
  • Be prepared to adapt to unforeseen challenges and changes as flexibility is essential with this type of engagement.


Epic Cupid Project

Scope: Bring cardiology services onto the Epic Cupid and GE CCW Invasive and Non-Invasive applications.

Accomplishments: The team did a great job with strategically deploying our limited staff in the most efficient design to allow for quick redeployment to hot spots during Go-live. This strategy made our numbers seem larger to the client and were able to handle emergency situations.

Lessons Learned: The importance of proper training for our staff as we prepare them for Go-lives at different clients. Get materials farther in advance to allow for more learning time before staff get on site.


Open Roles - New Opportunities

SoftBank LIS Administrator: Reports directly to the lab. Helps clear LabCorp, Soft, and billing workqueue backups. Supports lab end users in their use of Beaker. Must be a self-starter. Onsite availability is highly preferred but remote is an option.

Organizational Change Management Manager (Contract to Hire): The organization is migrating from NextGen EHR to Epic. This will impact every employee. Significant changes in workflow, technology, policies and procedures will be introduced as part of this project. There is currently very limited standard work in place within the organizational units, hence the need for an OCM lead to guide the organization through substantial change.
