Introducing Customized Event Registrations with Conditional Forms

In the world of event management, the ability to customize and personalize attendee experiences is crucial. As an event organizer, capturing relevant information about your attendees based on their unique backgrounds and event requirements can significantly enhance the overall event experience. With KonfHub's new Conditional Forms feature, this customization becomes effortless and highly efficient.

Understanding Conditional Forms

Conditional forms in event registration are forms that adjust their fields or questions based on the responses given by the registrant.? “Conditional forms use logic to show or hide specific parts of the form, making the registration process more dynamic and tailored to the user's needs or preferences.”

Note: Conditional Forms are available for all the plans (including Freemium plan for free events).

Here’s how conditional forms work:

  • Conditional Logic: The form includes rules that decide which form fields are displayed based on user input.

For example, if a user selects "Yes" to a question about dietary restrictions, additional fields may appear asking for specific details about their dietary needs.

  • Dynamic Fields: Based on the initial choices, different follow-up questions / forms will be shown. This keeps the form shorter and more relevant to each respondent.

For example, if a user selects “I want to nominate for awards”, then award nomination related forms/questions can be shown.

  • Custom Paths: Users can be directed through different paths within the form, ensuring they only see questions that apply to them.

For example, for a trade show / large conference, depending on the response as Visitor, Speaker, Sponsor or a Partner, relevant forms can be shown, thereby customizing the path they take for registration.

There are numerous benefits of using Conditional Forms:

  • Personalized Experience: Makes the process more relevant for the registrant.
  • Efficiency: Reduces the number of unnecessary fields, making the form quicker to complete.
  • Data Accuracy: Helps in collecting accurate and relevant data by guiding users to provide specific information.
  • Improved User Experience: By only showing relevant fields, the form becomes less overwhelming and easier to complete.

Example: Consider that you are organizing an event and want to gather specific details based on if the registrant is a professional or a student. With Conditional Forms, you can now set up questions that only appear based on the previous answers provided by the attendees. For example, if an attendee is a Professional, you can ask them to provide their designation and company name. On the other hand, if the attendee is a Student, you can ask their branch/course, and college or institution name.

Creating Conditional Forms: A Step-by-Step Guide

Now let us see how you can create a conditional form setup-by step for your event.

From your event admin dashboard, go to Event Info -> Forms menu item.

  1. Create the “Form” with details you want to collect from the participants.

  1. Click on the “Conditional Forms” tab. Set the status of fields as Show of Hide by default.

  1. To add a conditional form, click on “Add Conditional Form” and enter the Condition Name.

  1. Select the Parent Form on which the condition will be applied. Choose the Condition Type from the available options and select the corresponding value. Then, select the form you wish to show or hide based on the condition. Finally, click on “Save” to finalize the configuration.

This is how the person registering sees the conditional forms based on their selection (in this case, a drop down box with options Student or Working Professional).

You can create any number of conditional forms you want, but we recommend keeping the conditions to the minimum to reduce complexity in the forms for the attendees.

Conclusion

KonfHub's Conditional Forms feature is designed to provide a seamless and personalized registration experience for both organizers and attendees.
