Improving your HR processes with Data & Analytics
Human resources (HR) is a complicated field, wit h many twists and turns to navigate. The Excel mess is a term that describes the state of the HR process & analytics in many organizations. In some organizations digging into the Excel mess is like searching for the needle in a haystack. ?Therefore, the whole HR process can be manually, biased, and painful. With all the data and insights around, these companies are still struggling to make sense of what information is valuable and how to use it for their benefit.
Therefore, data & analytics can help! Lose the confusion and feel confident in your decisions with valuable HR Insights through dashboards and analytical reports.
What is the Problem?
Within the food-industry, many manufacturers work with international people in multiple shifts that need to register their time via clocking systems. For example, at one of our clients, the creation of employee timesheet is done manually. They combine a lot of print screens and manual calculations in one excel file, this to retrieve the base of worked ours per employee. Afterwards, the monthly results are gathered, and the total hours worked are compared against the required contractual hours.
Secondly, additional costs components are added to make a full monthly overview per employee. This process consumes multiple days per week and is error prone. There is no time to waste to improve this process now!
Therefore, we deployed a Data & Analytics platform to, amongst others, automate these timesheets. On the Data & Analytics platform we developed a data-driven HR-process that has all the business rules for holidays, sick leave, contractual hours, and function profiles combined.
Not only does the data-driven HR-process saves valuable time and reduces errors, but it will also enable the creation of an employee dashboard in Power BI as well. Like the above use case, there are many other use cases that can benefit from a Data & Analytics platform. But what is it?
What is a Data & Analytics Platform?
A Data & Analytics platform is a system that helps organizations collect, store, and analyze data from a variety of data sources. By collecting data from various sources organizations can identify areas where they can improve. The platform can be used to help automate your timesheets and create employee dashboards for HR Insights.
For example, at the client, we ingest data from two ERP systems, a clocking system, and an online HR portal into the platform. These source data sets are combined, structured and the required business rules are implemented. You can think of business rules such as:

How does a Data & Analytics Platform help create HR Insights?
Data analytics can be used in the HR-process in several ways. First, analysts can help to identify which metrics are most important to track. Secondly, they can help design the HR dashboard layout in a way that it is easy to understand and use. Finally, analysts can help create custom reports that provide even deeper insights into employee performance or problems that might occur.
By leveraging data & analytics, HR professionals can ensure that their dashboards are providing the most valuable insights possible. This will lead to better decision-making and improved employee performance across the board.
The Benefits of Automated Time Sheet
By implementing a data-driven HR process, our client was able to automate many business rules,?standardize its data processing, and significantly reduce the time consumed required to execute the process. Which allows our client to focus on its core business. Companies nowadays can benefit a lot from a Data & Analytics platform. At our client the benefits are:
1.?????Increased accuracy - Automating time sheets helped ensure that employees are accurately recording their time worked. This leads to more accurate payroll and billing.
2.?????Improved compliance - Automated time sheets helped to comply with labor laws and regulations. This avoids potential fines or penalties.
3.?????Increased productivity - Automating time sheets freed up time to improve the process and being able to be more pro-active in attacking problems that might occur. With respect to the previous process, the end reports were finalized 2 weeks earlier and were completed and signed off.
4.?????Cost savings - Automating time sheets save the company money by eliminating the need for paper timesheets and manual data entry. Secondly, employees got paid what they deserve, instead of too much or too less (per the old process which was error prone). ?
Conclusion
Companies need to the switch to a Data & Analytics platform to gain insights in their HR processes an employee performance across the board. Using Excel for the HR process is simply a painful problem that can have a negative impact in other parts of a company. By using the Data & Analytics platform for HR purposes, one can for example create digital automated timesheets. With digital automated timesheets, businesses can identify patterns and trends in employee behavior, making it easier to troubleshoot issues and optimize HR policies. If your company is still using paper / Excel timesheets, now is the time to make the switch to digital. Your employees will thank you for it!
