Overview

The St. Louis Kaplan Feldman Holocaust Museum has enhanced its operations through the deployment of Atlassian tools, an initiative that spanned a broad spectrum of museum workstreams. By integrating Atlassian tools and leveraging consulting services provided by Valiantys, the museum has streamlined the way its employees collaborate and work. This optimization has led to a significant improvement in efficiency, with team members saving 2-3 hours a week due to their new processes in Jira, equating to a 5-7.5% increase in productivity.

Challenges to solve

While opportunities for improvement in each workstream had their own nuances, the primary issues centered on tracking and managing projects and events. Teams were using a myriad of tools, including individual documents, sticky notes, spreadsheets, and physical whiteboards.

It was a struggle to ensure team members and stakeholders alike had visibility into the details and status of each initiative. Most activities in these areas demanded high levels of coordination and communication, posing significant challenges in the absence of a centralized system and streamlined processes.

Outcomes

Jira has been implemented to track grant applications and the associated tasks required to meet ongoing grant requirements, now offering enhanced visibility, a single source of truth, and improved collaboration around grant management.

Exhibitions now leverage Jira with Plans (formerly Advanced Roadmaps) to oversee the intake, planning, and execution of rotating displays, aligning the museum’s strategic objectives with its operational activities.

Public events, rentals, and tours utilize Jira for streamlined event management. Jira facilitates coordination across multiple teams and incorporates process guardrails to ensure consistent and efficient operations. Additionally, Jira Service Management, specifically the Assets module, has made it possible to establish a comprehensive database of key customer contacts, further enhancing the organization and management of these activities.

Furthermore, to help team members stay organized, the museum is utilizing the Valiantys CalendarSync app from the Atlassian Marketplace to integrate visits and activities from Jira into their external calendar software.
